Open Ended Contract - Permanent: Full Time - 35 Hours per Week

We are looking for an experienced EFI Reception and Facilities Assistant with a positive, can-do attitude and a strong skill set in providing front-line reception and facilities support. You will work as part of our growing Edinburgh Futures Institute team, providing support to deliver a range of building-related operational processes.

The Opportunity:

The Edinburgh Futures Institute will be housed in the former Royal Infirmary of Edinburgh building on Lauriston Place, which the University has been restoring. The renovated Category A listed building will provide 21,300 m² of floor space, 6000 of which will be new construction. The multi-occupancy building will include teaching and event spaces, meeting rooms and other spaces to support hybrid working, a café, and office space for professional services staff, researchers and commercial partners.

This is an exciting time to join the Institute and the EFI team as we are currently preparing to open and operate the building in a phased approach from September 2023. The successful candidate will present a positive and professional image of EFI and the University, offering a welcoming, friendly and efficient front-of-house service as well as assisting with room bookings, events, facilities, space planning, and Health and Safety and Fire Safety procedures.

Your skills and attributes for success:

  • First-class customer service skills, comfortable interacting with people at all levels;
  • Experienced facilities assistant, proficient in office administration with a friendly, customer-focused approach;
  • Ability to make quick, well-informed decisions and, where applicable, ability to ask others for advice;
  • Strong communications skills (verbal and written);
  • Well-organised individual with a proactive approach and ability to use own initiative;
  • Excellent organisational and planning skills.
