The Role
This position based in our Hereford office is for a full-time Travel Coordinator for Ambrey’s in house travel department. The Travel Coordinator will work on the companies in house GDS to book and manage guard travel and have responsibility for assisting in all aspects of itinerary planning, including Visa information, Covid-19 restrictions, and itinerary planning. The post will report to the Travel Manager.

Responsibilities

  • Working as a team to provide excellent customer service, through verbal and written communication.
  • Accurately entering all bookings onto the reservations system and internal company software.
  • Issuance of key booking documents, (tickets, voids, refunds, hotels etc).
  • Dealing confidently with a wide variety of questions and concerns, enabling colleagues to complete their tasks based on information provided.
  • Input and update of all records to ensure accuracy for reporting.
  • Data processing using in-house systems.
  • Assist in proactively managing the group mailboxes.
  • Be involved in all aspects of travel planning including but not limited to:
  • o Ticketing
  • o Hotels
  • o Tracking cancellations and refunds
  • o Up to date knowledge on Visa and PCR requirements
  • Assist in coordination of all aspects of travel under the direction of the Travel Manager.
  • Respond to operational issues and queries from Ambrey staff and operational
  • personnel.
  • Escalate and prioritise issues to the Travel Manager as required.
  • Undertake any other task which the Travel Manager deems reasonable from a management perspective.
  • Will be required to do shift work including evenings and weekends.

Qualifications and skills

  • 2+ years’ experience in travel desirable
  • GDS experience desirable
  • Strong personal organisation skills – ability and experience of effectively prioritising
  • workloads and multi-tasking in a busy open plan office environment.
  • Excellent oral and written communication skills.
  • Computer literate with experience of Word, Excel and any GDS system a plus.

Terms and conditions

  • Salary: £21.500 per annum commensurate with experience
  • Annual Leave: 25 days per annum plus public holidays
  • Working hours: 8:00 a.m. to 17:00 p.m., 8:30 a.m. to 17:30 p.m., or 9:00 a.m. to 18:00p.m., Monday through Friday as agreed within your team. Out of hours support may be required during evenings and weekends.
