Scheme Secretary – Trustee Services


Would you like to provide secretarial support to the Board of Trustees of our UK pension schemes? We currently have an exciting and high-profile vacancy for a Scheme Secretary at our site in Farnborough. This is offered on a hybrid basis with office attendance around 2 days per week. The role includes travel to Stirling Square, London when the business requires.

As a Scheme Secretary, you will be responsible for playing a vital role in delivering high-quality governance and scheme management services to our Defined Benefit (DB) and Defined Contribution (DC) pension arrangements. You will be responsible for the organisation of our pension’s meetings (at least 50 meetings per annum.)

This varied role provides the perfect opportunity for someone who is maybe currently working within a smaller, in-house company with a step up into a large organisation, expanding upon knowledge and career progression.


Your main responsibilities as a Scheme Secretary will involve:


  • Being responsible for providing BAE Systems pension schemes with high quality governance and scheme management services

  • Interacting with the Head of Trustee Services, Scheme Managers, Group Pensions colleagues and Company Secretariat to effectively and efficiently:

    • Plan and facilitate of all Board and sub-committee meetings;
    • Prepare and distribute agenda packs, aligned to the forward-looking strategic business plans; coordinating actions
    • Take and distribute minutes, and monitor progress of meeting actions;
    • Prepare written resolutions of the Trustee and arrange execution of Deeds;
    • Contribute to the continuous improvement philosophy;
    • Ensure BAE Systems pension schemes are compliance with all legislation and regulation (including requirements of Company law);
    • Deliver services set out in the Trustee plc agreement;
    • Contribute to the development of the risk management framework;
    • Support with maintenance of statutory books, records and accounts for Trustee Company including oversight of submissions required to Companies House, within deadlines stipulated
    • Support the Chair in relation to procedural issues and the conduct of meetings;
    • Deal with all formal correspondence on behalf of the Trustee
    • Ensure adherence to all Company Law requirements associated with terms of appointment and decision making

Your skills and qualifications:


  • Pensions Industry knowledge and experience (DB and DC)
  • Experience of managing Trustee Boards and Pension Schemes
  • Relationship and Stakeholder Management
  • Minute taking to professional standard
  • Experience of managing Trustee Boards and sub-committees in role as Secretary to the Trustee
  • Secretary to the trustee’s qualification (desirable)
  • Pensions qualification APMI or relevant equivalent (desirable)

Your interpersonal and communication skills will be ‘second to none’ as you manage a variety of internal and external stakeholders, including senior executives. You will be highly organised and always planning, coordinating meetings a year in advance. You will be skilled in the art of minute taking and be able to upload to the systems.
