An exciting new opportunity has come up for a coordination role within the Alcohol Care Team (ACT) hospital liaison service at Nottingham University Hospitals NHS Trust.

The ACT are looking for an innovative, dynamic and organised individual with an enthusiasm for working as part of a team, who will pro-actively adapt to new tasks.

This post holder should be motivated to make a significant contribution to enhance our growing service in order to deliver the highest quality service to patients and their families and support other colleagues in the wider hospital.

This is an exciting opportunity to take on and shape a new role within the Trust by supporting a fast-paced and developing team.

Main duties of the job

The post-holder will work closely with a team of nurses, clinical staff and the service manager to ensure the quality of the service.

As the ACT Coordinator you will be responsible for the organisation and smooth running of the service, for example, working with analysts to meet monthly data deadlines, collation and presentation of data at monthly meetings, keeping track of referrals and liaising with community services.

The post-holder will also have the opportunity to support in the implementation of innovative service projects and explore ideas on how to enhance the service. The Coordinator is the first point of contact for the team and should be friendly and approachable.

It is important for the Coordinator to be able to identify the needs of the service, such as ordering new equipment and office supplies and making sure all staff have what they need to perform their professional duties.

The post holder will also be responsible for facilitation of team meetings for the Alcohol Care team by preparing, organising and circulating agendas, minutes, results and patient notes and offer administrative support to the Alcohol Care Team.

Working for our organisation

The Alcohol Care Team is a hospital liaison services based at QMC, and covering both QMC and City campus. This post will be primarily based at Queens Medical Centre campus although flexibility will be required and occasional travel to Nottingham City Hospital and community sites may be needed. Travel between site is free to NHS staff via the Trust funded Medilink bus.

The ACT service is dedicated to direct input of the safety and care of patients experiencing substance use, and therefore coordination is an integral part of maintaining the quality of service patients receive. Detailed job description and main responsibilities

As the ACT Coordinator you will be responsible for the daily organisation of the team to support the effective functioning of the service. General duties will include:

  • Organising events such as commissioner visits, when appropriate.
  • Support in innovative projects for the service.
  • Collation and presentation of service data, produce data when required and ensuring data deadlines are met.
  • Attending/organising meetings and taking minutes.
  • Share responsibility with line manager for own personal development; keep up to date with staff mandatory training.
  • Manage the team diary and be responsible for the provision of timely and accurate information to other staff
  • Liaise with community services.
  • To support and mentor new staff.
  • Extensive use of Microsoft Excel.
  • Data input of sensitive patient information.
  • Use appropriate electronic hospital systems.
  • Answering the telephone and ensuring all queries are dealt with in a suitable manner depending on the nature of the call.
  • General office duties and general administrative duties including photocopying, filing, basic clerical duties and distributing documents quickly and efficiently.
  • Supporting colleagues with general administrative based queries.
  • Appropriate storage of sensitive information.
  • Working as part of a team and managing professional relationships.
  • To provide clinic and activity co-ordination support to the ACT, managing outcomes, referrals and future appointments.
  • Uphold and promote the Trusts values and behaviours at all times.
  • Undertake any other duties which may be reasonably required.

  • Educated to at least 4 GCSEs, Grade C or above including Maths and English or equivalent
  • A Level/NVQ 3 in Business & Admin or equivalent experience

Salary: The quoted salary will be on a pro rata basis for part time workers.
