To assist the Temporary Staffing Operational Manager:
  • In providing a full and comprehensive temporary staffing service to SHSC and external clients, covering all aspects of the request and booking process of temporary staffing.
  • In ensuring pre-employment and in-employment checks are carried out and recorded appropriately for all bank and agency workers wanting to work or working in SHSC
  • By providing an efficient and quality administration service to SHSC
  • To provide a comprehensive administrative support service to the SHSCs Temporary Staffing function, covering clerical duties and tasks appropriate to the post.
  • To proactively fill vacant shifts in the most effective, efficient way with high quality temporary staff
  • To provide cover as appropriate for colleagues
  • To assist and advise Bank workers, Agencies and services throughout SHSC on the use of eRostering/BankStaff with regards to temporary staffing functionality
  • To input and update personnel data on the Trust’s eRostering and ESR systems
  • Respond to day-to-day queries from staff, workers and external agencies in relation to temporary staffing processes and procedures

  • Manage temporary staffing requests using eRostering and BankStaff systems, placing temporary staff with the appropriate skills and competencies to cover the role and ensure that requesting managers are updated with regards to progress at regular intervals
  • Advise managers and services on temporary staffing booking procedures, agency rules and framework rates
  • Process requests from external agencies, liaising with contacts as required, ensuring that all bookings are in line with current NHS framework rates and systems are updated and hold accurate information about the agency.
  • Communicate with temporary staff, managers and agencies on a regular basis ensuring that the organisations procedures are followed, escalating where they haven’t been.
  • Carry out and maintain pre-employment checks (PEC) for external agency staff in line with NHS and NHSI framework standards. Logging and recording agency competency and compliancy checklists and escalating concerns to the Temporary Staffing Operational Manager as appropriate.
  • Maintain clear documentation and update systems to ensure that communication is maintained, in all aspects of service delivery, to staff, external agencies, managers and colleagues. This will include communication via email, face to face, text and phone.
  • Update and maintain logs and databases, escalating issues to the Temporary Staffing Operational Manager where appropriate.
  • Input and maintain data onto e-Rostering, BankStaff and ESR systems for all temporary staff as required.
  • Assist with the processing and recording of receipt of Local Induction checklists for temporary staff
  • Log complaints or concerns that are raised relating to temporary staffing and share this with the Temporary Staffing Operational Manager as soon as practically possible. In the absence of the Temporary Staffing Operational Manager, this should be raised with the People Systems Lead – Resourcing.
  • Assist the Finance and procurement teams with queries relating to temporary staff bookings
  • Escalate any pay related queries to the appropriate team i.e. eRostering Team or Payroll
  • Assist with the recruitment of Bank workers. This will include sending out applications forms, inviting candidates to interview, participating in assessment centres and administrating pre-employment checks.
  • Set up contracts for Bank workers on ESR and other computerised systems as required (eg eRostering).
  • Type staff communications, and any other ad-hoc correspondence, or mail merge existing standard letters to send to Bank workers as instructed.
  • Deal with telephone and email queries as appropriate.
