We have a full time vacancy to join the Obstetric team as a Support Secretary working within the Family Health division. Working as part of a team the post holder will support the provision of a high quality secretarial and administrative service to the Obstetric Consultants and associated activity within the department.

The working pattern is negotiable within the core hours on 0800 – 1600 Monday to Friday.

This post will be based either at City Campus

You will be working as part of a team, providing a high quality audio typing service to Consultants and their teams.

You will be a conscientious and enthusiastic team player with excellent audio typing skills, good organisational and communication skills with a sound typing background. You will need to be able to demonstrate a clear understanding of confidentiality issues, be well motivated and reliable. You will be able to understand and accurately convey verbal and written information and be able to remain calm under pressure. The ability to manage your time and prioritise your workload whilst remaining patient focused is essential.

You will be responsible for the audio typing and transcription of clinical correspondence within specified timescales. You will need to be a fast and accurate audio typist with a sound knowledge of medical terminology.

KEY JOB RESPONSIBILITIES

Accurately transcribing from Winscribe digital dictation and Winscribe Speech Recognition digital dictation, outpatient clinic letters and miscellaneous clinical correspondence to a high standard with specified timescales.

Responsible for the production of discharge summaries, clinical papers and material for publication from either audio or copy typing.

Use judgement and initiative to prioritise the importance/urgency of particular requests within defined guidelines

Undertake daily peer audit of clinical correspondence to ensure a high standard of accuracy and quality of work.

Ability to exchange sensitive or contentious information with diplomacy and in a confidential manner.

Liaising with outpatient administrator re. Appointments and necessary important clinical information to ensure patients are seen on their pathway without delay.

Manage e-mail accounts to retrieve Inter Provider Transfers then record and take any necessary action as appropriate

To undertake other specialty specific duties in accordance with Trust policies and procedures to facilitate the patient pathway

Ensure RTT patient data quality is accurate at all times

Adapt a flexible attitude to meet the needs of the service, taking into consideration each department’s unique specialty and the subsequent requirements of such specialist services.

Provide cover for Patient Pathway Administrator colleagues during times of sickness and annual leave.

Promote an open friendly working environment

Adhere to Trust policies and procedures relevant to your position.

Training and Qualifications

Essential criteria
  • 5 GCSE’s or equivalent C or above – must include English
  • Computer literate
  • Experience of Audio Typing
Desirable criteria
  • Can use Hospital systems i.e. Medway, Notis, Medical Office

Experience

Essential criteria
  • Experience in using Microsoft Office and Outlook
  • Demonstrates an understanding of patient / client confidentiality
Desirable criteria
  • Knowledge of 18 week RTT pathways
  • Medical Terminology

  • Uses correct grammar and spelling
  • Develop and build good working relationships

Salary: The quoted salary will be on a pro rata basis for part time workers.

I also consent to the Occupational Health Departmentconfidentially accessing my occupational health records from my current or previous employer in order to check the status of my vaccinations, immunisations s and screening tests as relevant to the post.   • Disclosure and Barring Service: Your post maybe subject to a DBS check which incur a cost dependent on the level of check required (£45 for enhanced and £28 for standard). I agree to reimburse Nottingham University Hospitals NHS Trust the cost of a Disclosure and Barring Service (DBS) check if it is required (by deduction from first month’s pay). Should I decide to withdraw from my job offer, I agree to reimburse Nottingham University Hospitals NHS Trust the cost of the DBS check undertaken by cheque or other agreed method.
