Job overview

A new opportunity has arisen in the Haematology team for a full time Medical Secretary to support our well-established team.

We currently have two Full time positions available one located at the City Campus and one located at the QMC Campus.

Working as part of a team the post-holders will provide high quality administrative service to consultants and their teams.

Main duties of the job

The successful candidate will have obtained at least three GCSEs grade C or above, including English Language; RSA III (or equivalent experience) typing qualification and NVQ Level III in Administration or equivalent experience to these. You will be competent in the use of Microsoft Office packages and experience of hospital systems including Winscribe, Medway PAS and NOTIS is desirable.

You will be a conscientious and enthusiastic team player with excellent organisational and communication skills and be well motivated and reliable. You will be able to understand and accurately convey verbal and written information and be able to remain calm under pressure. You will be able to work as part of a team to ensure the smooth running of a busy department.

Accurately transcribing from Winscribe digital dictation and Winscribe Speech Recognition digital dictation, outpatient clinic letters and miscellaneous clinical correspondence to a high standard with specified timescales.

Use judgement and initiative to prioritise the importance/urgency of particular requests within defined guidelines.

Ability to exchange sensitive or contentious information with diplomacy and in a confidential manner.

Liaising with outpatient administrator re. Appointments and necessary important clinical information to ensure patients are seen on their pathway without delay.

Manage e-mail accounts to retrieve Inter Provider Transfers then record and take any necessary action as appropriate

To undertake other specialty specific duties in accordance with Trust policies and procedures to facilitate the patient pathway

Ensure RTT patient data quality is accurate at all times

Adapt a flexible attitude to meet the needs of the service, taking into consideration each department’s unique specialty and the subsequent requirements of such specialist services.

Provide cover for Patient Pathway Administrator colleagues during times of sickness and annual leave.

Promote an open friendly working environment

Adhere to Trust policies and procedures relevant to your position.

Participate in a Personal Development Plan.

Salary: The quoted salary will be on a pro rata basis for part time workers.
