Our highly respected client is seeking a Secretary/Legal Assistant to join their business based in Clifton Moor. It is not necessary for candidates to have legal experience, however legal secretarial experience is essential.


They are looking for someone who can:

  • Efficiently and promptly dealing with typing of documents and correspondence
  • Efficiently and promptly dealing with administrative tasks associated with fee-earners files
  • Managing paper and online filing accurately and in a timely manner
  • Ensuring files are stored and retrieved in the correct manner and files are maintained in a neat and tidy order
  • Dealing with incoming and outgoing post, correctly differentiating between DX post and Royal Mail post.
  • Photocopying documents to the required standard
  • Opening files, making initial calls to clients prior to file opening to obtain any missing information and explaining the communications procedure (who to contact etc)
  • Completing SDLT forms and Land Registry applications
  • Preparing Financial statements and Finance chits for checking/signature by Fee Earner


Client service and compliance:

You will support the Fee Earners to ensure optimum levels of client service are delivered and will:

  • Deal professionally with clients, colleagues and other professional agencies on the telephone and in person
  • Accurately record messages and forward them to the appropriate person without delay
  • Make appointments, arrange meetings and maintain an up to date Outlook diary for team members
  • Provide fee earners and clients with refreshments during interviews as required
  • Ensure the confidentiality and security of all the firm’s and client’s documentation and/or information.
  • Ensure compliance with the Firm’s Lexcel policies
  • Ensure all relevant Company policies and procedures are followed

You will work effectively with others to ensure the branch operates effectively and people feel supported and will provide assistance in the following areas:

  • Providing reception cover as and when required
  • Be approachable and willing to support other team members
  • Attend and contribute to Department meetings
