My client is a manufacturer and distributor of commercial & Industrial machines, and we are seeking an experienced Sales Administrator to join a small but busy international sales office in the Eastleigh area. This is a fantastic opportunity to an experienced Administrator with an order Processing Administration background to support the Sales teams in ensuring all Sales orders are processed accurately and in a timely manner, and dispatched with the correct documentation, as well as dealing with all post sales queries. Main Duties & Responsibilities:
  • Produce quotes and respond to pre-order queries in a timely manner, liaising with other internal departments as required
  • Issue Pro forma Invoices and liaising with finance for customer payments.
  • Process orders accurately and in a timely manner, following standard procedures, maintaining records and keeping the customer updated
  • Liaising with production and purchasing & stores on the availability of goods, to ensure coordination for dispatch
  • Liaising with carriers to convey shipping information, get quotes and book collections
  • Preparing, either through the system, or manually, or via external suppliers, the necessary UK, EU & Export Documentation
  • Provide Post-Sales Support such as returns, technical advice, complaints, warranties, RAMs, Credit Memo etc.
  • Provide support to the field sales team with documentation, check information as requested, providing customer reports e.g. turnover, products purchased.
  • Liaise with Carriers ensure all service requests are processed accurately and in a timely manner. Skills & Experience Required
  • This role requires regular interaction with both internal departments and external suppliers; liaising with production, purchasing and the stores dispatch teams, as well as carriers.
  • Excellent customer service skills, attention to detail, and the ability to multi-task and prioritize.
  • Good experience within an order administration environment
  • Well organized, accurate, articulate, and able to prioritize workload under pressure to meet deadlines
  • Ability to work independently and use initiative
  • Confident telephone manner with good verbal, written and listening skills
  • Ability to relate to people and communicate on all levels
  • A flexible, adaptable, enthusiastic and pro-active attitude
  • Proficient in MS Office and ERP software and general administration
  • A good team player, capable of operating in a multi discipline environment
  • UK, EU and Export knowledge preferred, but training can be given
  • Fluent in written and spoken English and another language will be advantageous such as French, German, Spanish Summary Position: Sales Administrator Location: Eastleigh, Hedge End Duration: Permanent Salary: £22,000 - £24,000 Hours: Full-Time, Monday - Friday Start: Notice Dependant Apply: NOW
