The Clinical Chemistry department at Nottingham University Hospitals comprises of both routine and specialist services, with two large laboratories supporting both local and regional services.

Working closely with our Clinical Leads and Senior Management Team you will play a vital part in ensuring a high quality patient led service remains central to all we do. With the ability to influence others through your leadership skills you will help to support our staff to embed our quality culture into everyday practices

The role will be based at Queens Medical Centre and Nottingham City Hospitals Campus, which is part of Nottingham University Hospitals NHS Trust.

NUH NHS Trust is a large, teaching hospital comprising two sites, the Queens Medical Centre and the City Hospital. QMC provides acute services supporting a busy emergency service and trauma centre. City Hospital departments include Clinical Haematology, Oncology, Transplantation and Cardiac services. The Chemistry team contributes to the development of laboratory services which are patient focussed. These include both 24/7 acute, highly automated functions and specialist services embracing Trisomy Screening, Myeloma monitoring, Inborn Errors of Metabolism investigation and Immunosuppressant drug monitoring.

Detailed job description and main responsibilities

Provide general administration support to the Pathology Corporate and Senior management teams as required to support quality, risk and safety, training and business activities.

Administrative duties associated with the maintenance and update of various databases including but not limited to the Q Pulse, B.S.O.L and Datix electronic systems.

Retrieve and analyse data as requested. Providing data and graphical representations to Pathology Corporate and Senior management teams for inclusion in overarching reports.

Liaise with a variety of staff within Pathology and the Trusts as directed and act as point of contact for administration.

Support the Quality, Health and Safety, Business and Patient Safety portfolios of work as required by providing admin support.

Support in the ordering and invoicing activities for the Business office.

Administrative duties associated with the receipt, collection, handling, production and distribution of written materials and electronic records.

Assisting the audit processes.

Arrange meetings, book rooms as and when required including diary management.

Attend and take minutes of meetings, type and circulate as required.

Scanning, photocopying, filing and letter writing as required.

Deal with colleagues, patients, visitors and staff in a courteous and professional manner.

Being the point of contact for queries relating to the quality management system.

Provide training, once competent in the use of the quality management system.

Be able to work independently and manage own workload to make effective use of time and resources and working to Trust values and behavioral standards.

Support the Pathology Corporate and Senior management teams in the administration of the Pathology engagement activities.

Work flexibly and undertake other duties commensurate to the grade as required

Person specification

Training & Qualifications

Essential criteria
  • 4 GCSE’s or equivalent including English
  • Willingness to undertake training on specific departmental computer systems
Desirable criteria
  • Recognised administration qualification e.g. NVQ/ECDL or equivalent
  • Recognised IT qualification

Experience

Essential criteria
  • Previous Experience of office/secretarial /ordering /invoicing or similar relevant role
  • Knowledge and experience of using software programmes, e.g. Microsoft Office
Desirable criteria
  • Evidence of working in a healthcare environment
  • Familiarity with medical / scientific terminology
  • Awareness of Quality, Health and Safety, Patient Safety systems & ISO standards
  • Previous use of Q-Pulse or equivalent QMS
  • Awareness of NHS finance systems

Communication and relationship skills

Essential criteria
  • Suitable written skills with legible handwriting.
  • Evidence of ability to communicate at all levels clearly and concisely both oral and written
  • Good team worker
Desirable criteria
  • Willingness to learn.
  • Evidence of previous experience of working under pressure or to a deadline.
  • Evidence of social skills and ability to integrate with rest of team.

Salary: The quoted salary will be on a pro rata basis for part time workers.

  • Transfer of information: If I have previous NHS service - I consent to the transfer of my Electronic Staff Record (ESR) data between this and other NHS Trusts. I also consent to the Occupational Health Departmentconfidentially accessing my occupational health records from my current or previous employer in order to check the status of my vaccinations, immunisations s and screening tests as relevant to the post. I understand this is an automated process and the information will only be used for these purposes prior to me taking up the position at NUH.
  • Disclosure and Barring Service: Your post maybe subject to a DBS check which incur a cost dependent on the level of check required (£45 for enhanced and £28 for standard). I agree to reimburse Nottingham University Hospitals NHS Trust the cost of a Disclosure and Barring Service (DBS) check if it is required (by deduction from first month’s pay). Should I decide to withdraw from my job offer, I agree to reimburse Nottingham University Hospitals NHS Trust the cost of the DBS check undertaken by cheque or other agreed method.
