Overview

Job Purpose

Reporting to the site QA Manager, this role has responsibility for Administration of the data received by the QA team for the site.

This role will provide support, guidance, trended data and technical expertise ensuring the site remains focused on all aspects of quality assurance.

As a part of the QA function, this role will work with the site to ensure compliance with food safety legislation, achieve highest grade possible in all external audits, increase knowledge of food safety and quality also improve ways of working.

Dimensions
  • Administer all the complaint data which the site receives. Trend data, issue complaint reports both internally and externally.
  • Responsible for completing and approving the weekly plan ensuring all the correct details are correct.
  • Responsible for completing all the period reports and distributing as required.
  • Responsible for the collation and issue of any required certificates including C of A’s and C of C’s. .
  • Complete and keep up to date all the QAS documents.
  • Supervise the isolation system ensuring rapid investigation and disposition.
  • Manage the nutritional testing required to ensure we meeting customer COP’s.
  • Responsible for raising any necessary PO’s for the dept.
  • Be the dept. SME for organoleptic testing.
  • Responsible for the approval of the fill weight / net weight documentation.
  • Responsible for any FP release required
  • Lead any traceability or recall exercises alongside the QA Manager

Key Responsibilities

  • Complaints
  • Log all the complaints that are received at site from external sources, RLB, TSMs, direct from customer or other external bodies.
  • Initiate any investigations through either Food Safety coordinator for foreign body or other food safety issues or Process Improvement coordinator for quality complaints. Chase the issue owners to ensure that corrective actions are in place to prevent reoccurrence and this is done in a timely manner.
  • Carry out trend analysis on the complaint data to highlight areas for improvement, by product, by line, by product type, by shift, by supplier etc.
  • Report the complaint data to relevant parties, area mangers, customer TSM, suppliers etc.
  • Prepare the relevant complaint data in a presentation format for all customer visits.
  • Present the complaint process, data, trends and improvement plans to auditors.

Weekly Plan Approval

To ensure that the correct process is added to the plan for each process order. The recipe, can size and cooker are checked against the master process manual and these are added to the plan to ensure operations know which process to follow.

Check and approve each review of the plan throughout the week.

Period Reports

Complete the weekly and monthly site kpi reports and distribute as required.

Send the complaints data to the relevant dept. on a weekly and monthly basis as per schedule.

Send any relevant kpi data to the TSMs in RLB to enable them to complete any customer reviews or reports.

Weekly complete the Technical update report and send to RLB

Prepare trending information on Complaints etc. for any onsite reviews, production area reviews, HACCP reviews

Certificates

On request collate the data and produce any certificate such as C of C or C of A for customers.

QAS Documents

Following a first production run the QAS document must be completed . Each QAS must be forwarded to the specs team to add to the specification and be available to the site to use during FP evaluation.

Isolation Process

Supervise the management of the isolation process. Ensure all the technical grade 1s are fully trained in the hold and release process on SAP.

Ensure that an RCA is carried out when required, corrective actions are put in place.

Responsible for the trending of the isolated stock issues and working with either the food safety coordinator or the process improvement coordinator to ensure project teams are set up to fully investigate.

Report the status of the isolated stock in monthly kpi report.

Work with the refurb team to ensure any delays in rework are highlighted to the business.

Nutritional testing

Responsible for the schedule of testing of products for nutritional analysis. Schedule must meet customer COPs.

Report any out of specification results to QA Manager and NPD to review.

Purchase orders

Ability to raise purchase orders on SAP.

Work with all members of the QA team to raise any necessary purchase orders in consultation with the QA manager.

Organoleptic SME

Design and deliver the required organoleptic training for employees on site.

Ensure the dept. trainer is competent to deliver the refresher training.

Filled weight and net weight documentation

Ensure that the stated filled weight is correct for the current processes employed.

Responsible for the issue and authorisation of any changes to operations.

Finished product release

Responsible for the release of any finished product outside the standard TQC.

Traceability

To facilitate any traceability / recall, exercise either in a test or for real.

Write a process and regularly review to ensure everyone has a clear role within the trace. Ensure the exercise is carried out within the allotted timescale. Responsible for the training out of the process and to ensure there are suitable documented deputies for each role.

Present the traceability exercises to external and internal auditors as required.
