Main duties of the job

To provide comprehensive secretarial and administrative support to the Assistant Directors of People ensuring a professional, efficient and confidential service at all times.

The post holder will need to work autonomously and will be responsible for implementing administrative processes to support the effective running of the Assistant Directors portfolios.

Be responsible for ensuring daily management of diary, emails, telephone calls and other correspondence is dealt with in a timely manner. To maintain an efficient filing system, typing correspondence and other papers; arranging regular and adhoc meetings and taking clear and concise notes and minutes of meetings as required.

Responsible for ensuring progress on actions are delivered by the Assistant Directors within agreed timescales. Dealing with matters in the absence of the Assistant Directors of People.

Person specification

Training & Qualifications

Essential criteria
    • NVQ 3 Business Administration or equivalent experience;
    • Comprehensive PC skills including databases, word-processing, e-mail and MS Office packages;
    • Relevant keyboard qualification i.e. RSA Typing Stage III or equivalent

Experience

Essential criteria
    • Proven clerical/ administrative experience within customer care environment;
    • Experience of/ ability to take minutes and produce meeting agendas/ documents to a high standard;
Desirable criteria
    • Demonstrates understanding of the NHS, key staffing initiatives and its key challenges.

Communication and Planning

Essential criteria
    • Must be able to clearly and accurately convey information gathered from both verbal and documented reports;;
    • Time management skills, including the ability to prioritise, plan and manage a workload, knowing when to escalate and recognising own limitations;

Analytical

Essential criteria
    • Can exercise judgement and use initiative when dealing with senior managers, clinicians and external contacts/clients

Salary: The quoted salary will be on a pro rata basis for part time workers.

  • Disclosure and Barring Service: Your post maybe subject to a DBS check which incur a cost dependent on the level of check required (£45 for enhanced and £28 for standard). I agree to reimburse Nottingham University Hospitals NHS Trust the cost of a Disclosure and Barring Service (DBS) check if it is required (by deduction from first month’s pay).
