Your Role

Tenable UK is currently recruiting an experienced Office Manager for our growing EMEA region. This role is responsible for various aspects of day to day running of the offices. The ideal candidate will have at least 5 years Office Manager experience, ideally in a tech environment.

Your Opportunity
  • Provide front of house and general office support to Team Tenable in EMEA.
  • Schedule and ensure the smooth running of site-wide events such as “lunch and learn”, all-hands, brown bag sessions.
  • Ongoing event analysis, track attendance, review feedback of all events to help create an engaging program.
  • Culture ambassador for Tenable, build and foster a high-performance culture. Play a key role in helping us develop a positive, diverse, inclusive and fun professional, and energetic culture at Tenable
  • Corporate Social responsibility; raising positive awareness of Tenable’s commitment to sustainable social responsibility via our ‘WeCare’company program.
  • Ensure the Tenable offices operate and are maintained to a high standard. This includes (but is not limited to): cleanliness, facilities, security, health and safety.
  • Own the overall health and safety procedures for the region. This includes annual statements and also the tactical aspects such as conducting regular fire drills. Ensure appropriate amount of first aiders and fire wardens are fully trained and adhere to local guidelines.
  • Seating and capacity planning for numerous sites across EMEA.
  • Budget tracking for events, facilities and ad hoc projects.
  • Work with executive admins (EAs) from other offices to arrange visits of various executives to the EMEA region. Help develop the schedules for these visits and ensure the smooth execution in partnership with relevant leaders.
  • Regular updates to the EMEA audience on things happening in region.
  • Compile detailed monthly expense reports for VP, Sales.
  • Work with key partners such as HR to assist with the onboarding process for new hires
  • Provide other administrative support as required (this may include sensitive and confidential information) such as typing up documents and correspondence, printing, scanning and filing.
  • Some amount of EA work (<20%) is required e.g. travel arrangements
  • Be a champion of our company wide Volunteer Program and promoting use of volunteer time off.
  • Liaise and coordinate with our in-house US-based maintenance/facilities team and our local facilities management provider on a weekly basis to address building and facility issues
  • Vendor management with multiple suppliers for facilities, snack program and office management.
  • Order and monitor various office supplies such as stationery and snacks
  • Receive and sort daily mail/deliveries/couriers
  • Work with the IT team to ensure smooth running of operations
  • Organising and maintaining meeting rooms including organising coffee and refreshments

What You’ll Need
  • At least 5 years experience in an office management role in a fast-paced, ideally “tech” environment
  • Ability to collaborate and engage with all staff, operating as an ambassador for the office and the Tenable values and culture.
  • Be comfortable taking full ownership of office management ensuring smooth running of day to day operations in office and regionally.
  • Provide a positive impression of our office while assisting visitors (internal and external).
  • Excellent interpersonal, written and oral communication skills
  • Ability to work well under pressure
  • Adapt well to change
  • Proven ability to effectively handle and screen phone calls
  • Working knowledge of all Microsoft Office programs (office, excel, powerpoint etc.) and Google equivalent
