Reed are currently working with a well established company based in South Woodham Ferrers, who are looking for a Office Administrator.
The company have over 20 years in the professional services within the building environment working within both the public and private sectors.
Salary: up to £20,000
Monday to Friday 8.30-5
Key Duties/Responsibilities of the Facilities Office Administrator
• Saving all invoices that come in to the business.
• Chasing, checking and ensuring all paperwork in support of invoices is accurate and correct.
• Assisting in creating completion certificates for major works.
• Issuing invoices to clients for payment.
• Very high attention to detail on chasing minor works.
• Assist in setting up all new service schools.
• Saving and cataloguing of paperwork.
• Weekly chasing of servicing contracts.
• Assist in preparation of site meeting agendas.
• Liaise with accounts for statement of account.
• Collating outstanding Quotation Analysis’ & Quotation requests.
Collating and chasing of all open works orders.
• Chasing and recording All call outs.
• Maintaining accreditation details of contractors
Essential requirements, skills and knowledge:
The post holder will assist the facilities management team in all aspects of their work
• Experience of achieving organisational targets and service improvement.
• Understanding of customer care and quality issues.
• Ability to self-motivate and work pro-actively on own initiative.
• A “can-do” attitude and approach to work.
• Excellent Customer Service Skills.
• Outstanding organisational skills and the ability to prioritise workload.
• Excellent oral and written communication skills.
• Ability to develop long term relationships with clients.
• Good IT skills including MS Office applications and the use of property management software.
• Ability to work under pressure, whilst maintaining attention to detail.
• Ability to adapt style and approach dependant on audience.
