The Role:
An exciting opportunity to join one of the leading private histopathology providers in the UK to support and undertake the administration of the NHS department.
The post holder will work within a variety of different areas within the department including NHS case creation, referrals, MDM’s, Logistics, as well as performing quality administrative tasks.

- Upbeat and proactive, engaging, empathising listener when talking to clients and confident while dealing with queries and solving issues
- Creative thinking, ability to come up with logical solutions in uncommon situations
- Strong computer skills are required with the ability to use a variety of IT systems and LIMS.
- Attention to detail
- Previous experience in an administrative role/medical secretary role is desirable.
Primary responsibilities:
- Create new patient “Cases” (Records) accurately and in a timely manner
- Manage and maintain LIMS, Slide management, cloud data and any ad-hoc systems
- Delicately handle all materials received by sending lab
- Conduct regular reviews of any delayed reporting or delayed lab management
- Creating service users on all platforms
- Maintaining the Whole Slide Imaging (WSI) process
- Accurately recording and processing Additional Lab Work (ALW) received by the sending lab
- Return all material belonging to the client according to the SLA
- Ensure all reports are fully authorised and are received by the NHS client
- Upload and maintain Datasets in accordance with the SLA
- Conduct stocktake management
- Undertaking appropriate tasks, new techniques or other developmental activities as required by the line manager
- Contribute to the development of our new LIMS 2.0
- To log and actively manage issues that may arise in relation to data
- Monitor case statuses in terms of Turn Around Time (TAT) against the SLA and taking appropriate action to rectify any failings
- Responsible for conducting audits for NHS clients
- Proactively take part with Investigations along with the Operations manager and the Governance officer relating to case/lab incidents
- Communicate in person, via the telephone and electronically with members of the team and with staff in departments across all Trusts as required, ensuring that a high-quality service is provided to all users
- To liaise with Pathologists and NHS Trust personnel and coordinating the requirements of the Pathology Service to users of the service
- To liaise with service users and provide basic advice and support when required
- Communicating effectively, professionally and politely with telephone enquiries
- Maintain slide and paper filling
- To attend and record minutes
- To support the NHS Operations Manager in ad-hoc duties.
- Manage pre-established MDM workflow
- Prioritise each enquiry and action tasks in accordance of their importance, using various methods and software
- Work with clinical and non-clinical staff to ensure that all cancer patients are documented, relevant documents are distributed prior to (and are listed for discussion) at weekly MDMs
- Use and understand Company’s LIMS and CaseCentre software in order to obtain information and prepare materials required by specialists.
- Manage daily courier dispatch plan.
- To adhere to Company agreed policies and procedures

- To protect the confidentiality of information relating to our client, Patient and Staff or other agencies
- To provide a quality service to internal and external users and agencies, to participate/develop aspects of clinical governance within the sphere of responsibility

MDM (multidisciplinary meetings):
- Manage pre-established MDM workflow
- Prioritise each enquiry and action tasks in accordance of their importance, using various methods and software
- Work with clinical and non-clinical staff to ensure that all cancer patients are documented, relevant documents are distributed prior to (and are listed for discussion) at weekly MDMs

Logistics:
- Manage daily courier dispatch plan.
