Legal Secretary in Commercial Property and Agriculture

Position Overview:

We are searching for a skilled and detail-oriented Legal Secretary to join our team specialising in commercial property and agriculture law. The ideal candidate will possess exceptional organisational abilities, a solid understanding of legal procedures in both commercial property and agricultural matters, and excellent communication skills. As a Legal Secretary, you will play a pivotal role in supporting our solicitors and ensuring the effective operation of our commercial property and agriculture practice.

Key Responsibilities

Document Management: Prepare, review, and format legal documents, contracts, and correspondences relevant to commercial property and agriculture cases. Ensure accuracy, compliance with templates, and adherence to established guidelines.

Client Interaction: Serve as a professional point of contact for clients, addressing inquiries, scheduling appointments, and providing updates on case progress. Maintain clear and timely communication to ensure exceptional client satisfaction.

File Organisation: Organise and maintain both physical and electronic files for commercial property and agriculture cases. Ensure proper filing, indexing, and accessibility of documents for attorneys and team members.

Legal Research Support: Assist attorneys in conducting legal research related to commercial property and agriculture matters, such as property titles, land use regulations, and relevant information. Summarise findings for efficient presentation.

Deadline Management: Monitor critical deadlines for commercial property and agriculture transactions, such as closing dates, filing deadlines, and response time-lines. Proactively remind team members of impending deadlines.

Billing and Financial Tasks: Support the preparation of billing statements, track expenses, and assist in invoicing for services related to commercial property and agriculture. Maintain accurate records of billable hours and incurred expenses.

Team Collaboration: Collaborate closely with attorneys, paralegals, and other team members to ensure efficient work-flow. Assist in scheduling meetings, appointments, and case-related activities.

Administrative Duties: Perform general administrative tasks, including answering phone calls, managing calendars, scheduling appointments, and handling correspondence.

Qualifications and Requirements

Experience as a Legal Secretary, with a strong focus on commercial property and agriculture law is desirable.

Proficiency in legal terminology, documentation, and processes within commercial property and agricultural transactions.

Exceptional written and verbal communication skills for effective interaction with clients, colleagues, and external parties.

Meticulous attention to detail and accuracy in document preparation and communication.

Familiarity with legal software, Microsoft Office Suite, and document management systems.

Strong organisational skills, capable of multitasking and managing priorities in a dynamic environment.

Professional demeanour with the ability to maintain strict confidentiality.

Knowledge of local and state regulations concerning commercial property and agriculture law is advantageous.

Relevant certification or training in legal secretarial practices is advantageous.
