Calero-MDSL is a global software company currently looking for an ambitious Invoice Specialist to join our innovative cutting-edge expense management company. Our solutions put global businesses in control of their technology lifecycle, enabling them to understand and reduce their technology expenditure. We have a global presence and you will be working with team members in Phoenix, New York, Rochester, London, Paris, and Hong Kong.

You will be obtaining, chasing and loading invoices across multiple platforms and clients. This role is an entry level, integral, customer facing, collaborative, results oriented position where you will be provided with training opportunities and given a real chance to impact the operations of the organisation. You will become the key contributor to the initial loading SLAs. The key activities are to ensure that the invoices are entered into the system in adherence to our client specific requirements.

Specific Responsibilities
  • Identification and gathering of missing Invoices as assigned
  • Confirm receipt of invoices due from Vendor in accordance with Service Level Agreements (SLA)
  • Download vendor billing data from billing portals as required
  • Preparation of client’s telecom invoices for loading
  • Daily accurate loading of received invoices meeting SLA requirements for each customer
  • Load invoices both manually and through electronic loading process following establish format and customer specific business rules
  • Validate accuracy of invoice data entered; invoice date, vendor remit, expense/charges, invoice amount and accounting distributions, note invoice for variances and validation completed
  • Interact with internal staff and vendor to resolve bill issues
  • Manage escalations senior staff for issues to be addressed with customers
  • Update client Billing Address with Vendors as needed
  • Where integration does not existing, maintain the appropriate adjacent application for data integrity and accuracy
  • Monitor all open helpdesk tickets for assigned customer(s) and escalate to Service Operations Manager (SOM) as necessary
  • Maintain the highest quality customer service and promote a positive attitude
  • Perform all other duties as assigned including maintaining compliance with all company policies and procedures
  • Management of GLIMP

  • Related experience and/or training; or equivalent combination of education and experience
  • Working knowledge of Microsoft Office Suite (Outlook, Excel, Word, PowerPoint), data entry systems
  • Gathers and interprets data to solve routine problems that require verification.
  • The ability to work independently and collaboratively with all levels of staff and management
  • Eager and willing to develop and grow new skills
  • A naturally good team player who is able to multi-task, work independently in a dynamically changing environment and under pressure
  • An eye for problem solving and data analysis
  • Strong organisational skills
  • Able to work to milestones/deadlines.
  • Preferred associate degree in STEM, Finance, Accounting or Business and/or related experience
