Job Overview

  • An exciting opportunity working on an established and prestigious Pan London account. This new role of a Governance and Process Associate will ensure effective operational management and compliance, playing a pivotal role supporting the TFL contract, working alongside the Mitie Management team and Administrator to provide Operational support to all aspects and functions of the contract reporting directly to the Account Director. The role will be Monday – Friday during working hours but will have flexibility due to the role having the ability for home working. The main responsibility of the role is to provide support which allows our organisation to maintain compliance. This may include offering advice and guidance on best practice, or it may include adapting institutional policy.

Main Duties


  • Oversee the internal processes of the company to check they meet the required standards and ensure an efficient flow of information across the organisation
  • Provide quality control, governance and support to the security team to ensure the protection of people, premises and assets.
  • Managing and ensutring the contract adheres to all legal standards as well as internal policies and procedures.
  • To foster an atmosphere of continuous improvement, opportunity and learning for the security team to be regarded as the premier account within Mitie.
  • To work closely with the compliance manager to ensure the security team are fully conversant with all policies, procedures, emergency plans, risk assessments and assignment instructions issued by Mitie and the client, and to ensure that all versions are correct and up to date.
  • Ensuring that data capture requirements are fully up to date, defined, understood and embedded in operational processes across the business to ensure timely, accurate and complete data.
  • To facilitate improved data quality by providing expert support on the use of appropriate software within the business
  • Lead organizational minimum Data Standards in parallel with data quality findings.
  • To ensure compliance with Data Protection policies, GDPR, and Data Retention strategies.
  • Performance management – you will be responsible for ensuring compliance with the various certification required to perform duties on the TFL contract. To ensure courses are booked and correct PO’s raised and this is tracked.
  • To support the Compliance Team to fulfil audit requirements.
  • To work closely with the Administrator to ensure correct PO’s are raised and processed. Provide a cover for the Administrator during periods of absence.
  • Design and create reports.
  • In conjunction with the Account managers to review and enhance the security team training plan to ensure staff personal development plans are identified and progressed and to maintain staff training records.
  • To be a key driver in affecting change,
  • To review the Merlin database in respect of patrols and DOB to provide data to support compliance and escalate any areas of concern.
  • be aware of general best practice when it comes to administration and be able to offer advice on a range of issues

What we are looking for

  • Skills & Education

    Essential

    • Competent with IT and computer systems.
    • 3 years’ experience in a similar role and or specialist security qualification.
    • Analytical and report writing skills.
    • Good knowledge of Excel.
    • SIA licence.
    • Sentinel Card.
    • Excellent Organisational skills.
    • Skills in Project Management.
    • Good attention to detail having the ability to synthesise large amounts of information.
