As a key member of the Global Engagement team, you will have significant input into all issues relating to the operational function of the Directorate by providing both high quality customer service and efficient processing of administrative tasks. What you’ll do – key duties
  • Undertake the various administrative duties of the Global Engagement Directorate and provide general administrative support.
  • Provision of a professional and effective first point of contact via telephone and email for all issues relating to Global Outreach & Operations and assist with internal liaison activities throughout Cardiff Met.
  • Support the administration of US Federal Loans; keeping up to date with US Federal Aid regulations set by the US Department of Education, maintaining accurate records for the purpose of calculating student funding levels and eligibility, enrolment reporting, and audit preparations, ensuring compliance in all areas of the US Federal Loan regulations.
  • Support the maintenance of all systems and processes relating to the Global Engagement’s Overseas Travel Policy and administration related to such activities, ensuring compliance in all areas of Health and Safety and Financial Regulations.
  • Support the Global Outreach & Operations Team’s externally funded projects (e.g., Erasmus+, British Council) through maintenance of project data in accordance with funding regulations and providing logistical support for project activities.
  • Responsibility for supporting the administration of overseas visits, liaison with the trip organisers and other staff in the University and externally and, using the internal purchasing software (Agresso) or the Office credit card, to book flights, trains, hotels, hire cars, conferences, courses etc. in accordance with university policies and procedures. Ensuring that accurate records are maintained in respect of travel arrangements.
  • Assist with the organisation of visits to the University from international stakeholders and provide support with all travel / logistic arrangements.
  • Preparation and maintenance of work sheets, manipulation of databases and production of statistics as required by the Global Outreach & Operations Team processes.
  • Day to day transactional finance procedures, raising purchase orders, raising invoices and finance administration.
What you’ll bring – essential experience & strengths
  • An excellent understanding of general administrative procedures and processes.
  • Sensitivity towards cultural issues.
  • Expert knowledge of a wide variety of IT packages with high competency with Microsoft Office Packages
  • Ability to learn and adhere to procedures and regulations
  • Experience of having carried out complex administrative tasks in a work environment, specifically around financial/statistical data
  • Experience of financial administration
  • Experience of working in a busy, fast-paced environment, with the responsibility for dealing with enquiries from external stakeholders via telephone, email or face-to-face
You will be an enthusiastic and friendly professional with excellent communication and interpersonal skills coupled with a commitment to providing an excellent student experience.
What you’ll have - essential qualifications
  • Educated to HND level or equivalent experience
  • Minimum of grade C GCSE Maths and English (or equivalent)
