Purpose

We are looking for a dynamic, proactive, and fully customer focused finance assistant as part of our finance team to ensure that all financial transactions with both customers and suppliers are accurate, timely, and compliant with good practice, and that the experience for customers and suppliers dealing with us is friendly and positive.

Specific Tasks

Purchase Orders

· Liaise directly with managers, collecting paperwork for processing, and responding to queries.

· Match purchase orders and delivery notes to the purchase invoices.

Invoices

· Process supplier invoices and check with relevant managers for sign-off.

· Check and reconcile supplier statements with investigation of any discrepancies.

· Ensure all supplier invoices are filed accurately and that they have been authorised.

· Ensure all customer invoices are paid on time.

· Monthly posting of orders to Good Till.

Banking

· Cash up the bar, shop and office tills as required.

· Reconcile card payments against Sumup reports.

· Process Stripe payments on Cinolla.

· Process BACS payments on Cinolla.

· Maintain the register of refunds to facilitate monthly reconciliations.

· Ensure payments allocated to Cinolla have the correct VAT rate applied.

Month and Year-End

· Assist with the preparation of financial information to be reported on Sage.

· Assist with year-end audit preparing materials for collection.

· Assist with the spot check of stock.

General

· Answer the telephone and greet customers walking into the main office.

· Filing and archiving.

· Help deal with all customer enquiries.

· Ensure all enquiries are handled professionally and courteously, and no later than within 24-hours of receipt.

· Work weekends and evenings as required.

· Undertake any other reasonable role as requested by the Finance Manager, CEO or member of the senior management team.

Personal Specification

1. Experience

Essential

· Willing to work towards the AAT Level 2 accounting qualification if not qualified.

· Good standard of maths.

· Comfortable with computer systems, spreadsheets, and Microsoft Office.

Desirable

· AAT Level 2 Accounting qualification.

· Knowledge of Sage.

· Working within a charitable environment.

2. Skills

· Excellent communication skills required to build relationships with customers.

· Able to spot mistakes and confident in raising them with the appropriate person in a professional manner.

· Able to follow instructions clearly and be comfortable working as part of a team.

· Able to work under own initiative.

· Good interpersonal skills.

3. Competencies

· Passionate about quality and accuracy in systems.

· Hard working and able to manage time effectively.

· Good, positive phone manner.

· Able to listen well and understand clients’ issues.

Job Type: Full-time

Salary: £22,890.00 per year
