WHAT YOU’LL DO

We are looking for an Executive Assistant (“EA”) to support several Global Services ("GS") Partners and Senior Directors based in the BCG Global Services London office or in Europe. At BCG, EAs are an essential part of the team and are expected to grow throughout their careers, building and improving their skills to match the evolving needs of BCG. Taking full responsibility for maintaining stakeholders’ demanding schedules our EAs are expected to act with initiative and pro-activeness and handle confidential information with utmost discretion. The goal is to leverage the stakeholders’ time and to enable him/her for other value-added functional activities. This position is also expected to work as a team with other EAs in Global Services and may also be assigned by his or her supervisor to back up other support staff as required.
  • Calendar Management: We expect the EA to actively manage the calendar matters for their assigned stakeholders with an overall understanding of business priorities to offer alternatives, tradeoffs and consideration of the most efficient use of the stakeholders’ time.
  • Scheduling Meetings: With minimum instruction, proactively follows up on emails when copied, and determine the most appropriate next steps related to scheduling more complex meetings, either in person or via WebEx, that require participation from multiple stakeholders who often sit in multiple geographic locations.
  • Travel Management: The EA will organize travel arrangements for all trips; anticipating and coordinating point-to-point travel and logistics needs, including but not limited to directions, commuting time and ground transportation, passport and visa processing
  • Expense Management: The EA will prepare expense report submissions for their assigned stakeholders in accordance with company guidelines
  • Other ad-hoc activities: As time permits after handling core activities (calendar management, scheduling, travel and expenses…) assist with basic document formatting (MS Word, Excel, PowerPoint) and meeting planning.
  • At as a culture carrier within our office – that may be by acting as a first aider or fire marshal or supporting execution of office activities and events

YOU BRING (EXPERIENCE & QUALIFICATIONS)

  • Fluent in English with strong written and oral communication skills
  • Minimum of 5 years’ experience in a fast-paced environment (really fast paced!) supporting senior executives, strongly preferred
  • Strong attention to detail and time-management skills; must work well with deadlines
  • Exceptional interpersonal skills with a track record in delivering high quality stakeholder management
  • Strong technical skills with at least intermediate PowerPoint & Excel skills. Familiarity with tools such as Trello, Slack would be advantageous.

YOU’LL WORK WITH

Your customers will be both internal BCG employees based in London but you will deliver leveraging a wide network and working alongside a truly global Admin team
