An exciting opportunity has arisen to work as a Clinical Skills Co-ordinator within the Undergraduate Medical Education department at our Nottingham University Hospitals NHS Trust.

You will work primarily within our Medical Education Centre (MEC) at Queens Medical Centre and have the opportunity to develop your administrative skill-set working closely with our clinical teaching team to support teaching.

There will also be opportunity for continual professional development within the role with scope to support funding of courses and programmes relevant to your development needs in line with the role as well as your future aspirations.

NUH Medical Education Centre (Clinical skills area) – The successful candidate will play a key role in service administration working within the Undergraduate Medical Education Centre.

Patient Liaison – Working closely with the Undergraduate Coordinators to organise volunteer patients for all clinical course workshops. To be the main point of contact ensuring that information is kept up to date and is passed on effectively. You will be the lead co-ordinator in arranging payments for volunteers and sending out thank you letters, in addition to maintaining and updating the patient database.

Qualitative Role– To support the Undergraduate Quality Manager by recording and collating SIFT feedback after each student rotation, organising meetings and minute taking as part of the annual review of the department quality management meetings.

You will work as part of a dynamic administrative team within Undergraduate Medical Education alongside our Clinical Teaching Fellows, clinical teachers in the trust, patients supporting teaching and medical students with us for their clinical placements.

Detailed job description and main responsibilities

The duties below tie in with the key responsibilities of your day-to-day work:

Handle day-to-day student and Clinical Teacher enquiries for all aspects of the course.

To act as the first point of contact for MEC queries from a wide range of service users.

To ensure compliance of health and safety legislation within the centre. This will include guidelines around the supervision of clinical staff and medical students within the trust policies and procedures, maintaining safe systems of working including the safe cleaning, storage and security of equipment.

To implement and maintain systems to ensure the coordination of use/loan of equipment.

To maintenance clinical equipment and technology in line with trust guidelines.

To ensure equipment provision and guidance to all users within the clinical skills areas.

Oversee MEC room bookings ensuring that the areas are being used to full capacity and potential.

Setting up and preparing equipment for respective sessions and ensuring clear down after each session.

Ordering and maintaining stocks and supplies of clinical skills equipment and other items as required.

Liaise with suppliers regarding equipment and delivery within the department ensuring that orders are correctly receipted.

To ensure patient payments are processed in good time and handle such queries with the support of team leaders.

To support trust compliance in line with patient safety policies.

Support maintenance and updates to medical students on the University Moodle platform where required.

Have an awareness and understanding of the undergraduate curriculum and how it is implemented at other Trusts in the Medical School’s sphere, in order to share best practice and developments, to facilitate enhanced teaching and learning experience.

To support the QAA and SIFT process within various clinical courses, as required.

To support the department in any other administration duties as required.

Training & Qualifications

Essential criteria

  • Educated to GCSE Level. NVQ Level 3 in Business and Administration or equivalent. Willingness to learn and work on own continual professional development with the support of management team.

Desirable criteria

  • Experience in a clinical setting with an understanding of basic skills required. Evidence of personal progression.

Experience

Essential criteria

  • Minimum of one-year relevant administrative experience. Proven record of planning, organisation and administrative skills. Experience with standard office software such as Microsoft Office Responsive to change. Ability to proof read and has attention to detail. Able to work autonomously and manage own workload.

Desirable criteria

  • Experience using and managing databases. Experience of hospital systems. Experience of working in a hospital environment.

Communication and relationship skills

Essential criteria

  • Evidence of excellent communication skills (verbal, written, phone). Ability to adapt communication style accordingly. Awareness of multi-cultural needs and diversity issues, ability to adapt to and overcome communication barriers. Able to present information verbally on an individual basis and to small and large groups. Develop and maintain good working relationships with management team, administrative team, clinical teachers, students and patients. Resourceful; displaying initiative and self-motivated. Ability to deal with queries/requests efficiently and effectively.

Desirable criteria

  • Experience of presenting to small/large groups. Pastoral skills to ensure care of students; diplomatic but able to deal effectively with challenging issues and signpost as needed.

Analytical and Judgement skills

Essential criteria

  • Able to make decisions when guided only by broad principles and departmental policies. Able to work to clear timescales and objectives. Able to prepare and communicate materials for meetings and be proficient in minute taking and transcribing. Able to make a judgement on potential operational problems that may prevent completing a task on time.

  • Experience of implementing change. Experience of data collation and management.

Essential criteria

  • Ability to use own initiative to both work under pressure to tight deadlines and solve issues. Consistently working to high standards to be as thorough and accurate with tasks. Physical skills

Essential criteria

  • Standard Keyboard Use & office duties. Able to move equipment following appropriate methods. Able to travel between sites. Punctual & reliable with good attendance record.

  • Hours of work – weekdays; standard office hours Frequent use of VDU. A/V & teaching equipment assembly & transport. Able to travel to both QMC & City Hospital.
