An exciting opportunity has arisen in the Breast Institute for a Clerical Officer/Receptionist. We are seeking enthusiastic and competent individuals to provide Clerical/Receptionist support and covering a call centre on a rota basis for the busy breast screening department.

This is a permanent post working up to 37.5 hours per week over 5 days, and duties will be undertaken at the Nottingham Breast Institute and Ropewalk House. Reduced hours will also be considered.

Main duties of the job

The role would require working within a team to complete all daily tasks and general duties including preparing clinics, making and changing appointments, filing and answering the phone.

The position involves providing cover for the reception desk both at the Breast Institute and at Ropewalk House, administrative tasks such as prepping clinics and filing, and staffing a call centre that deals with patients booking queries. All of these tasks will be distributed on a weekly rota basis.

Good communication skills and the ability to prioritise workloads, in view of changing priorities are essential. Also the need to work under your own initiative is necessary.

The Nottingham Breast Institute was opened in 2003 and provides all outpatients services for those requiring diagnosis or treatment in the Nottingham area. The centre also delivers the Nottingham Breast Screening Service with a screening population of over 90,000 women, although this is set to rise further when the Programme’s age extension is fully implemented

Detailed job description and main responsibilities

The successful candidates needs to be computer literate, experienced in the use of electronic communications and be confident during face to face interactions with patients and visitors. They will be a focal point of contact for patients at the Breast Institute and Ropewalk House and act as an information resource for staff and visitors. Knowledge of hospital systems i.e. Medway, PAS and DHR is desirable, however training can be provided.

Training & Qualifications

Essential criteria
  • Educated to GCSE level in maths and English, Grade C or above
  • NVQ2 Business Administration/Reception, or equivalent experience

Experience

Essential criteria
  • General office experience, including reception work.
Desirable criteria
  • Demonstrated knowledge of the Breast Screening service
  • Experience working within a similar department/hospital setting

Communication and relationship

Essential criteria
  • Exchanges information with patients and staff for appointments and general queries

Planning and organisation skil

Essential criteria
  • Planning and organisation of routine tasks

Physical skills

Essential criteria
  • Able to retrieve files from shelving using appropriate equipment

Salary: The quoted salary will be on a pro rata basis for part time workers.

I agree to reimburse Nottingham University Hospitals NHS Trust the cost of a Disclosure and Barring Service (DBS) check if it is required (by deduction from first month’s pay). Should I decide to withdraw from my job offer, I agree to reimburse Nottingham University Hospitals NHS Trust the cost of the DBS check undertaken by cheque or other agreed method.
