Job Description


Due to continued growth and internal progression, we are now seeking an Admin & Facilities Manager to join the Great Bear team at our Markham Vale 2 site. Within this role, you will contribute to the continuing success of the warehouse operation through the management of the Admin team and on-site stakeholders. You will also act as the key point of contact between the contractors and ensure all works are undertaken in a safe manner.

As the Admin & Facilities Manager, you will be expected to participate as an active member of the management team and to offer suggestions for solving problems, improving efficiency, customer and quality focus.

Working Hours: Monday-Friday, 8am-5pm

Key accountabilities as the Admin & Facilities include:

  • Supporting the management team in the running of an efficient and cost effective operation.
  • Managing different platforms to adhere to weekly and monthly reporting to the business.
  • Responsible for the overall management of the site Administration Team; dealing with day to day matters including annual leave, resource planning, sickness, disciplinary and performance management.
  • Liaising with the agency each week regarding costings for the previous week and processing through for payment.
  • Handling all administrative matters and customer queries to ensure the smooth running of a busy office.
  • Attending customer review meetings with senior managers and the customer.
  • Compiling all data and information required for the accurate production of weekly KPI’s and monthly reports as required using Power BI.
  • Ensuring all financial administration relating to suppliers/supplies is in place and liaising with the Accounts Team to ensure that all invoicing is prepared and processed appropriately for sign off and customer allocation.
  • Liaising daily with the Operations Team and external suppliers to ensure there are sufficient quantities of required pallets on site and organising collections of broken pallets.
  • Liaising with the Quality and Compliance Department to upload and maintain records.
  • Coordinating the weekly training meeting, gaining updates from each department on training activity and planned training for the site through a developed training plan.
  • Raising appropriate permits for contractors attending site, supervising and coordinating the works and informing the site of proposed works. On completion, checking that agreed work has been completed satisfactorily and following up on any deficiencies.
  • Calculating and comparing costs for required goods or services to achieve maximum value for money with consumables, uniform and anything else applicable.

Qualifications
  • Proven experience in office management, with knowledge surrounding finance, warehousing and transport.
  • Excellent customer service skills with the ability to demonstrate a courteous and professional attitude.
  • Strong communication skills, both written and verbal, with the ability to build effective relationships.
  • Commercial awareness with strong attention to detail and competency using MS Office.
  • Conscientious, reliable and diligent with the ability to work to tight deadlines.
  • Excellent time management skills and problem-solving skills.
