Summary

The role of the UK MOD Communications Team is to support the UK’s commitment to the Kingdom of Saudi Arabia by acquiring and maintaining modern communications capabilities. The team has a requirement to recruit experienced and agile staff to assist in the effective delivery of the requirements of our customer.

This position is advertised at 37 hours per week.

Job description

This role sits within the Business Management area and is responsible to the KSA based Business Support Manager for the co-ordination and delivery of a wide range of administrative support for the UK SANGCOM Project Team in Riyadh. The post is currently based within the UK team although there may be some requirement for travel to Saudi Arabia.
The job holder will be one of two SANGCOM Unit Welfare Officers and ideally will have completed the training. If the successful candidate does not have the requisite Welfare training, then they must undertake the necessary training within 12 months of taking up post. The training requires attendance at two residential courses in Yorkshire.
As the JH will have regular dealings with the Management Board, senior UK MOD staff, and other Government departments it is essential that the candidate has strong teamworking and networking skills and possesses a good level of self-confidence. They should be well motivated and able to work without supervision.

Responsibilities

Maintenance and revision of all SANGCOM Team documentation, including Forms and Standard Operating Procedures (SOPs); this will require innovative thinking, precise drafting skills and attention to detail.
Management and maintenance of the Team Annual Leave Tracker and Leave Calendar. The JH is the first point of contact about Annual Leave and must maintain accurate records.
Production of the SANGCOM monthly communication document, currently known as “SANGCOM Soundbites”, which will require liaison with regular contributors and subject matter experts throughout the Team. The JH will also manage and deliver the communication of central policy direction, and announcements, utilising Sharepoint.
Maintenance and Management of the SANGCOM Business Support Shared Filing System (SharePoint/Apollo and Athena), hard and soft documentation, including efficient information management and compliance with general Data Protection legislation.
Design, Maintenance and Management of a Business Case tracking system.
Close liaison with and support to the UK based Team Administration Hub with all the administration required to support absence, recruitment, deployment and repatriation of all SANGCOM team members irrespective of their location; this will include close liaison with the SANGCOM Community Liaison Officer with regard to arrivals/departures and accommodation requirements in KSA.
Provide advice to Line Managers and Team Members regarding UK Based HR issues and ensure that revised UK policy is reflected accurately in local (KSA) SOPs.

A flexible resourcing policy is implemented, and the team reserves the right to reallocate resource to meet developing business priorities.
