We have an exciting opportunity for an experienced Nights Transport Coordinator to join our clients logistics solutions company close to Marston Green, Birmingham.

Position Summary

The Transport Co-ordinator (Night shift) is responsible for providing exceptional service levels to our valued customers through effective communication with site based operational teams, drivers and suppliers. Complete transparency through effective use of systems and seamless handover with day teams is critical.

Responsible For:

• Resolution of any customer queries
• Liaising with the customer’s representatives on a regular basis
• Obtaining driver ETAs through telematics system and advising customer contacts
• Building customer / supplier relationships
• Carrying out trailer / vehicle checks (virtually)
• Briefing and de-briefing drivers (via video call)
• Planning vehicle servicing and maintenance (if own fleet)
• Changes to store runs/times – reflecting these changes in CSL Live (our own software package) as they happen
• Processing PODs and the accurate updating of traffic management systems
• Issuing instructions to the drivers as they arise (via phone / video call)
• Ensuring administration is undertaken in a timely manner
• Scheduling and supervising a team of drivers
• Collaborate with other staff members in order to formulate and implement policies, procedures, goals, and objectives
• Conduct investigations following any incidents to determine root causes and improve safety procedures.
• Ensure all site contractors have a permit to work and records of their Risk assessments, method statements and liability insurance are held
• Ensure all company Safe Systems, Policies, Risk assessments and Standard operating procedures are adhered to
• Ensure we work in line with the Business’ Quality Procedures

The role would also require the candidate to effectively and continuously manage ongoing transport activities, these tasks would include:

• Make arrangements to ensure drivers comply with driver’s hours and tachograph rules, and within speed limits.
• Ensuring vehicles are maintained properly, including the inspection of vehicles at the appropriate time and action taken to remedy defects.
• Reporting and recording all vehicle defects
• Ensure accurate inspection records are kept for no less than 15 months
• Ensure Walkaround checks are undertaken by drivers
• Continuous improvement on driver infringements and performance
• Coordinating driver training, inductions, annual refresher training and maintaining Ensure poor performance and notifiable incidents are documented, investigated and actions taken to prevent re-occurrence
• Ensure all vehicles have the correct O licence disc displayed in the windscreen
• Ensure all vehicles have sufficient tacho paper
• Monitor digital tachograph cards and their use, expiry or replacement dates
• Regular briefings with drivers to ensure they are aware of expectations, any changes or customer issues – record on tool box talk templates and have the document signed by all attendees.
• Ensure vehicle units and digital tachograph cards are downloaded within the appropriate timescales and company cards are obtained, managed and used accordingly

• Good interpersonal skills
• Highly customer focused
• Experience of temperature controlled supermarket work an advantage
• Experience of championing a safety culture
• Has a positive approach to using IT and systems
• Strength of character and assertiveness – stamina and drive
• Business skills – numeracy and IT literacy
• Knowledge of Road Transport Regulations desirable but not essential
