Role: Senior Facilities Coordinator
Role Purpose
Multiple Contractor Management
Facilities Management Cover and line manager responsibilities for Facilities Coordinator and Facilities Assistant
Management of financial operations and processes
Client and Stakeholder Management
Procurement & Vendor Management
Health & Safety Management

What this job involves

Contracts Management:
Ensure that all contracts are professionally delivered at the right cost and in line with the JLL Code of Ethics
Monitor expiry of contracts and initiate re-procurement if needed
Continually assess contracts to ensure best value delivered to the client
Multiple contracts including but not limited to – catering, front of house, cleaning, security, mailroom, engineering.

Line Management:
Actively encourage and support development and mentoring of Facilities Coordinator and Facilities Assistant
Ensure JLL team values of being an Expert, Proactive, Innovative, Versatile, Team Player and valuing the Customer
Management of Facilities Management cover

Finance Management:
Ensure that the site’s financial operations are meeting targets and control requirements
Assist and monitor financial processes to ensure account payable procedures are followed at all times
Manage multiple vendors to deliver services on time and within budget

Client/Stakeholder Management
High attention to detail to deliver excellent services to meet on-site client expectations
Build & develop effective client/stakeholder relationships
Providing superior customer service at every interaction to meet client’s expectations actively demonstrating the JLL values of teamwork, ethics an excellence.

Health & Safety Management
Knowledge of emergency evacuation procedures, security awareness and H&S
Ensure a safe working environment, taking pride in the workplace.
Completion of site audits to ensure standards are maintained with a keen eye for detail.
Ownership of your areas, resolving issues associated with building services, highlighting issues and monitoring until resolved.

Sound like you? To apply you need to be able to demonstrate the following skills and experience:
Knowledge of industry standards and good working practices
Broad knowledge of IT including Microsoft Office
Experience working with C Cure, or similar Security access control software
Experience working with Manhattan, or similar Space management software
IOSH Managing Safely or equivalent qualification
BIFM member
Excellent approach to quality control
Must be able to remain calm under pressure
Proven people management and collaboration skills
Good communication skills (oral and written)
Willing to be flexible with regard to covering other areas of the Facilities team
Capable of working with minimal supervision and supervise others
Ability to work quickly and accurately
Access control software required
Space management software required
AutoCAD experience preferred

Work Requirements
Office based fast paced environment
40 working hours a week but additional hours and weekend work will be necessary when workloads demand
May be required to cover other Facilities Team Members
