The Senior Conciergewill be based at our offices in Stoke-on-Trent
PURPOSE OF THE JOB
This is a key operational post contributing to the management and development of Adullam services in Stoke. They will ensure that the concierge team provide a proactive point of contact for service users who may require support in an emergency or crisis situation. They will ensure that a good standard of professional service is given and will be required to work within the Association’s Policies and Procedures.
As a senior member of staff you will be expected to ensure effective working relationships with colleagues and contribute to the maintenance and development of the Associations values, culture and ethics.
Key Responsibilities
Security and Welfare

  • To ensure the security of the premises at all times when on duty by continually conducting environmental checks. This will include ensuring that the staff supervised encourage the tenant/licensee to take measures to reduce crime, including violence, within the accommodation, for example by advising and encouraging them to refuse entry to certain individuals or groups.
  • To keep a record of all significant events during the period of duty.
  • To record and report any incidences involving the residents’ mental, physical, or emotional state to the appropriate staff member at handover.
  • To respond to challenging behaviour and manage confrontation as trained, and by alerting the appropriate emergency services if required.
  • To maintain good working relationships with residents.
  • To liaise with other agencies as necessary.
  • To respond to the fire alarms, as trained, if they activate during the period of duty.
  • To comply with the Association’s policy and procedure regarding confidentiality.
  • To comply with the Association’s procedures for reporting in and out of the workplace.

Concierge Duties

  • To monitor and manage access into the building ensuring that only residents, their invited visitors, and professionals carrying out their duties are allowed access.
  • Ensure that the concierge team have proficient training in relation to operating and managing the CCTV equipment.
  • Ensure adherence to Health and Safety regulations appropriate to the building and service and complete all H&S tasks in a timely and scheduled manner.
  • To ensure that processes and procedures are in place that record regular patrol’s and inspections of all communal areas, including office space, ensuring that they are kept clean and free of hazards including carrying out any immediate cleaning to ensure this. Liaise with relevant authorities and management to ensure that all aspects of health and safety are implemented.
  • To ensure that the concierge team are reporting repairs and maintenance issues in a timely manner.
  • To assist the housing management team prepare flats/rooms for new residents as required.
  • Ensure handovers at the start and end of shift with operational staff.
  • Ensuring that we have a responsive team, maintaining our remote/satellite properties within the stoke on Trent area.

Management Duties

  • Ensure accurate I.T. and file records are kept on, anti-social behaviour, defects, complaints and terminations.
  • Assist in the production of management information related to key performance indicators and regular reports to your line manager.
  • To provide clear administrative systems for Assistants to be able to follow and adhere to locally.
  • To effectively supervise concierge staff and carry out scheduled and annual performance reviews in line with the Association’s policies.
  • To provide guidance, mentoring and support to Assistants.
  • To work closely with all other departments as necessary and look to improve communication and processes on a continual basis. To lead on staff meetings (to be held weekly) which will discuss health and safety matters and any specific issues to licensee health and wellbeing (possibly requiring additional control measures to the licensee and circulation of this information).

  • Ascertain whether we are upholding our values, by regularly conducting qualitative data gathering questionnaires and workshops.

  • To be aware of the Association’s policies and ensure they are carried out and that good practice is maintained.
  • It is your responsibility to take care of your own health and safety and that of your colleagues. Once in post additional H&S responsibilities maybe delegated.

Co-production

  • Ensure Co-Production in all aspects of the services development, and embed Involvement at the core of service provision.
  • Actively engage with clients ensuring a regular platform is maintained to aid service development.

Relationships and Partnerships

  • To create, maintain and enhance effective working relationships both internally and externally, and to challenge inappropriate, unproductive behaviours or behaviours or values that do not replicate those of Adullam.
  • To cooperate with colleagues and promote and champion team working to ensure that the required contractual and performance outcomes are met.

Personal Development

  • Contribute to the overall development of the Association by using individual skills, strengths and abilities.
  • To actively participate in own supervision, annual performance review and objective setting.
  • To fulfil own agreed personal development and training programme.

General

  • To contribute positively to the Association’s efforts to ensure “Excellent Stewardship” of Adullam’s resources by delivering services with economy, efficiency and effectiveness
  • Any other duties that are deemed appropriate to the post.
  • The responsibilities of this post may vary from time to time without changing the general character of the post or level of responsibility entailed.
