Overview

The school is seeking to appoint an enthusiastic and flexible administrator to work in a busy school office, who will provide confidential administrative support to the School under the direction of the School Business Manger and the Headteacher.

This will include clerical support, reception management and general administrative duties.

Full or Part-time: Part time 2 days a week (Monday and Tuesday 8am - 3:30pm)

Salary: Bucks Pay Range 2 £19,856 - £22,316 - Term Time only

About the role

Reception:

1. Receiving visitors, parents, governors, or other guests and ensuring they receive the appropriate hospitality, being aware of the school’s arrangements for security.
2. To ensure that visits by medical practitioners are administered appropriately, facilities are made available and that paperwork/procedures are complied with.
3. Responsible for the school’s post. Checking items received against delivery notes.

Administration:

4. Having knowledge of the school’s word processing and desktop publishing facility. Ensuring that the equipment is effectively used; that the necessary standard letters are developed and adequate records maintained. Dealing with correspondence. Circulating school information to parents and staff.
5. To use the School’s confidential database for pupil and staff records; ensuring that information is processed according to deadlines and that the accuracy of the records is maintained at all times. Responsible for the completion of statistical returns and records as requested by the LA or the DfE. (HR overtime and sickness)
6. To regularly check and respond to emails and the office internet.
7. To assist with the administration associated with testing arrangements within the school.
8. Administration of DBS forms.
9. Maintain office notice boards and keep Information Rack for parents fully stocked.
10. Keeping up to date medical records on database for pupils.
11. Regularly maintain school website working alongside ICT leader and redevelop as and when required.
12. To maintain ‘Parentmail’.
13. To submit eforms to County.

Personnel:

14. Assisting the school’s management in personnel related matters; advertising and selection of staff. Liaising with the LA regarding contracts and payroll.

System Manager:

15. Control of the school’s Management Information (SIMS).
16. Aware of the physical and anti-virus security of the data held.

About you

  • Excellent communication skills
  • Excellent knowledge of IT, including, Word and Excel
  • Ability to multi-task
  • School experience preferable but not essential
