THE OPPORTUNITY

DLA Piper Property and Workplace provides premises and office services including management and maintenance of the firm’s property portfolio, and business support services including catering, vending, house-keeping, travel, reprographics, mail delivery and collection, records management, reception, hospitality and meeting room support, direct mail and publication distribution, health and safety compliance, moves and changes and premises security.

As part of the Property and Workplace team, the role of the Receptionist is to help provide a first class professional reception service to DLA Piper, which is client and commercially focused and supportive of the firm’s business needs and vision.

This role will be based in our Birmingham office.

MAIN DUTIES AND RESPONSIBILITIES

  • Meeting and greeting clients and visitors to ensure a good first impression of the firm is achieved
  • Booking meetings rooms and refreshments via a computerised booking system
  • Booking and setting up video conference facilities; Microsoft Teams and Skype meetings
  • Dealing with queries and requests from internal and external clients and visitors at all levels
  • Ensuring meeting rooms are clean and tidy and adequately stocked with stationery items
  • Liaising with Property and Workplace assistants and the catering team to ensure meals and refreshments arrive on time and that meetings rooms are set up correctly with the correct equipment
  • Assisting with meeting room furniture set ups
  • Setting up audio visual equipment and IT equipment
  • Organising taxis for clients and staff
  • Booking parking
  • Assisting visitors with enquires relating to directions etc.
  • Attending staff and health and safety committee meetings as appropriate
  • Supporting members of the wider Property and Workplace team

  • Experience of working in a similar role within a corporate environment
  • Polite, professional and friendly
  • Excellent communication skills
  • Strong interpersonal skills
  • Customer service focused
  • Enthusiastic with a ’can do’ attitude
  • Good timekeeping and attendance
  • Good numeracy skills
  • High standard of literacy
  • Proficient in the use of Microsoft office software packages ideally with experience of operating a room booking system and setting up audio visual and IT equipment
  • Have the ability to prioritise and multi task
  • Demonstrates flexibility, initiative and a willingness to take responsibility
  • Able to work as part of a team
