Job Description
An exciting vacancy has arisen for a Race & Travel Coordinator to join the team, reporting to the Travel Manager.

The successful candidate will be responsible for cost effective provision and administration of travel and accommodation services to support the team’s corporate and competitive objectives.

Key Roles and Responsibilities:
Co-ordinate the management of events (races, tests, filming days and demonstrations) including:

  • Production and publication of the travel itinerary (including preparation of the itinerary document, welcome letter and travel packs with e-tickets).
  • Completion of the flight manifest including input of passenger details and submission to airlines.
  • Completion of the rooming list including submission of the list to hotels. Co-ordinate the arrival of the team and any VIPs.
  • Booking of all ground transfers both in the UK and overseas.
  • Work with Mercedes-Benz AG to organise the allocation and use of Mercedes-Benz AG supplied vehicle.
  • Organise the completion and submission of the subsistence allowances for team members after a race / test event.
  • Check, reconcile and complete the administrative process for all invoices. Identify and make arrangements for the recharge of any costs.

Operate within the company’s policies in particular:

  • Ensure that all travel is organised in line with the Travel Policy.
  • Ensure that all travel bookings are made in accordance with the Purchasing Policy.

As and when requested, assist and provide support to the Assistant Travel Manager including:

  • Procurement of the group travel requirements for events attended by the team.
  • Provide UK back up for any travel problems that occur being ‘on call’ during evenings & weekends.
  • Maintain and provide records and other information to facilitate the smooth operation of the travel department.

When procuring travel related services (flights, hotels, etc) ensure that the best procurement practice is followed to ensure that the best commercial terms and rates are achieved.

Candidate Profile:

  • Experience of travel administration in a fast-moving environment
  • Experience of SAP is desirable
  • Advanced Excel and numeracy skills
  • Excellent organisational skills and attention to detail is key
  • Good inter-personal skills & ability to communicate at all levels
  • A self-driven, pro-active individual with a “can do” attitude and ability to work in a team
  • Demonstrated ability to work to deadlines
  • Ability to work well under pressure and manage sensitive and confidential information
  • Able to demonstrate problem solving skills
