In more details, your responsibilities will include…

Initiation

  • May support PM in the on-boarding process of new clients

  • With guidance, may participate in the client enquiry / project initiation process using an understanding of the triage process. May assist the PM and / or triage team in generation of Client specific proposals

  • May assist with reviewing project scope for alignment with contract requirements in terms of work scope

  • As applicable and with guidance, may assist in the preparation of timelines to support the quote process in conjunction with Client Services and Operations.

  • Assist in Study Numbers and/or Project numbers requests or distribution process as required.

Planning

  • May act as the primary point of contact for the project work for internal/external customers

  • With guidance, and using the appropriate system, manage and coordinate schedules across the department, including lab scheduling and resource management.

  • Prepare and maintain contact details information. May assist the PM with the preparation of a project plan.

  • May participate in collaborative discussions with client and scientific teams to fully define the project requirements. Ensure these are communicated to the project team.

  • Assist with the tracking and review of contract generation.

  • Assist to set-up, monitor and maintain appropriate tracking for each project. Escalate issues as required

  • With appropriate guidance, participate in the communication and interaction with the project team, other departments, and clients.

  • Escalate any barriers to project execution in a timely manner.

  • Communicate timeline changes or concerns to internal teams in a timely manner.

  • Participate in conference calls, internal meetings, and preparing for client visits.

Monitoring and Controlling

  • With guidance may assist in production, update, revision and reconciliation of project finance and revenue trackers.

  • May collect and collate internal and client metrics / KPI’s for report out to internal teams and management

  • As appropriate for the project, assist with the production and maintenance of project issues logs.

  • Escalate issues to the Project Manager as appropriate

    • May assist with financial projections and revenue recognition information.
    • May participate in risk assessment and lessons learned discussions.

Closing

  • May assist with the follow up with Clients during and after project completion to determine satisfaction levels and to gain insight into ways to improve our service offering. May support the PM with utilising CAIR process and NPS data to address internal / Client issues. At the end of a project phase or at close of the project, may assist to close out all project tracking tools.

General

  • Act with guidance to respond to unscheduled deadlines, client needs, and crises without neglecting other responsibilities.

  • Participate in process improvement initiatives within the PMO and associated business.

  • May assist in collating information on planning and financial forecasting to the relevant business units.

  • Perform other related duties as required.

What we’re looking for

Project Coordinators are the most successful at Labcorp with:

  • University/College degree and/minimum 1 year of relevant Project Management Office experience.

  • The ability to get things done by influencing others (both internal and external).

  • An up-to-date knowledge of regulatory guidelines (desirable).

  • Commercial awareness, interpersonal and negotiating skills.

  • Desire to learn and maintain knowledge of process excellence processes, tools and activities.

  • Computing skills, including word processing and use of spreadsheets (e.g. Microsoft Office packages and Microsoft Project).

  • Proven ability to prioritize and manage time.
