Job Description

To provide total administrative support to the CEO Commercial Finance and other Commercial Directors as required. Also to support Group Chairman and his PAs on an ad hoc basis. Diary & email management, preparation of meeting papers and packs and taking meeting minutes and actions.

Key accountabilities:

  • Providing comprehensive assistance to the CF CEO and CF Directors in an extremely fast paced environment
  • Understand the CEO’s priorities, reorganising workload and tasks accordingly to ensure they are able to deliver
  • Co-ordinating and managing the CF CEO diaries, managing time effectively and intelligently, using initiative to prioritise urgent matters to ensure the smooth, timely and professional running of the business area at all times
  • Act as an ambassador, gatekeeper and point of contact for the CF CEO at all times
  • Managing and organising CF CEO travel, visas and accommodation arrangements
  • Attending meetings, taking minutes and action points as required. Chase for updates on actions progress as required.
  • Preparation of Board Packs and agendas/papers/presentations for meetings
  • Dealing with all matters in an efficient, sensitive and reliable manner
  • Arranging internal and external meeting and events. Meeting and greeting visitors
  • Set up processes, systems and procedures for the efficient administration of the CEO office

Essential skills and experience:

  • Strong administrative skills
  • Highly proficient in Microsoft Office including Outlook, Word, Excel and PowerPoint
  • A proven track record as a PA / EA
  • Previous experience handling confidential information
  • Attention to detail with strong time management and organisational skills
  • Strong communication skills
  • Self-motivated with a proactive approach
  • Flexible and adaptable to change – able to work in a fast paced environment
