Overview of Role:
The PA is directed to support our Yorkshire and Humber Managing Partner, providing an efficient and responsive service and assist with managing and prioritising their time. The role will be responsible for complex diary management, extensive travel arrangements, meeting preparation, accurate record keeping, production of documents, presentations and client material, linking national campaigns into a local strategy and supporting on the growth of business across the region.
Key Responsibilities:
The individual will be an integral part of the team. The role will be responsible for a range of duties, with key tasks being:
Responsible for complex diary management – proactively organising internal and external meetings, ensuring timely and accurate communication to all parties
Communicating at a range of levels both internally and externally with colleagues and clients
Arranging extensive and complex travel and accommodation requirements both nationally and internationally, preparing detailed travel itineraries and arranging visas
Arranging all meetings, ensuring that catering and conference room facilities are booked
Organising video and telephone conference calls in different time zones in line with complex diaries
Typing of confidential correspondence, reports and minutes
Maintaining appropriate records and filing of key documents
Production - responsibility for the production and creation of all documentation - creating reports, power point presentations, printing, binding, attaching enclosures, ensuring RLB branding and quality is adhered to
Managing expense claims
Assisting with compliance, the completion of reviews and team appraisals, service reviews and time sheets
Creating and maintaining good relationships with other administrators and colleagues within the business
Supporting the Managing Partner with external profile and business development.
Taking outputs from national sector campaigns and developing and managing delivery strategies in the Yorkshire market.
Supporting the Managing Partners/Partners/Associates in developing and updating collateral for sectors, service and managing the updating of CV’s.
Market research across all sectors and clients to support the development of the short, medium and long term strategy in Yorkshire.
Managing the client service review system and supporting the growth of service to existing and new clients.
Organising and managing events within the Yorkshire market to maintain and grow the profile of the business.
Assisting with all other administrative duties as required
Candidate Specification:
The ideal candidate will demonstrate a positive proactive approach and will be committed to delivering internal and external customer service excellence.
Experience in a senior support role ideally within the Construction sector or Consultancies
Strong technical delivery experience
High level of IT competency, MS PowerPoint (Graphics), Excel, Outlook and Word
Ability to successfully manage complex projects in a proactive and diligent manner
Client facing, ensuring a high standard of delivery
Able to build long-term relationships
A team player, outgoing, flexible, enthusiastic and ambitious
Proven ability to work to deadlines
Able to stay professional and calm under pressure, assertive, confident to communicate at a range of levels both internally and externally and with international clients and colleagues.
Highly organised, confident and a team player.
Proactive, adaptable to quick / last minute changes in diary, flexible, persistent and focused with the ability to think logically using own initiative.
Good attention to detail and strong organisational skills. Must maintain a high level of confidentiality at all times.

Ability to support the Managing Partner by having the confidence to offer ideas and challenge the status quo when required
