About the role
Purpose of role: To ensure Students are administered effectively throughout their training programme across all Babcock service areas and ESFA regulatory requirements

Major tasks and activities:
  • Manage Student administration, including; cohort administration and allocation, enrolment activities, creating detailed nominal rolls, managing Students between cohorts, tracking Students as they progress through the programme and assessments, closing programmes and managing completions
  • Booking, administering and tracking Customer and external training to support the students progression through their course
  • Supporting Cohort planning and resourcing activities, including the production of schedules and resource plans
  • Receive, action and resolve Student queries across a range of Student related areas
  • Receive, action and resolve Customer queries across a range of Student related areas

Additional key accountabilities:
  • Ensuring IT systems are up to date with the correct and required student data
  • Supporting the Delivery and Progression teams in relation to Student administration
  • Ad-Hoc internal and external reporting across all Student Administration activities
  • Provision of data for internal and external teams, including finance, delivery and progression and ESFA
  • Supporting Progression and Delivery teams
  • Supporting workflows, relationships and activity with our HEI partners
  • Identify opportunities to improve the Student administration experience
  • Work within established company policies and procedures, including those related to government funding rules
  • Build a positive team culture, based on the company values which promotes equality, diversity and inclusion
  • Ensure Babcock and MPS Security, Health and Safety, Environmental, Information Assurance, Equality, Diversity & Inclusion and Welfare & Safeguarding policies and procedures are followed at all times within all areas of responsibility

  • Timely, accurate and detailed Student administration with KPI measures
  • Responses to queries in-line with KPI
  • Complete and comprehensive Student records and accounts
  • Accurate Student administration across all IT systems
  • An outstanding positive experience for any Student, customer or internal team interacting with the Administration team

  • Line Manager and other PEQF staff
  • Key Operations team members, including the Delivery and Progression teams

  • Other key internal functions (e.g. Finance & Commercial)

What do I need to do the role?


Key technical skills / competencies:
  • Excellent literacy, numeracy skills with excellent written and verbal communication abilities
  • IT literate and able to use a variety of software (including MS Word, Excel PowerPoint and Outlook)
  • Use of specific Student, Learning management or training IT applications
  • Ability to administer data across multiple systems and sources
  • Proven experience in a customer facing position, delivering key services via email and phone
  • Ability to work against measured KPIs
  • Able to coordinate activity across multiple organisations
  • Competent in administering and tracking Students from start to finish through various programmes
  • Competent in extracting, processing and utilising data

Key behavioural competencies:
  • Strong KPI and performance focus and able to work to defined time constraints
  • Clear attention to detail, ensuring accuracy of data and identifying issues
  • Demonstrable organisational skills to support service delivery and subsequent tasks but also managing and prioritising workload and tasks
  • Proven interpersonal skills to enable strong working relationships with key Customer, HEI and internal teams
  • Commitment to excellent customer service
  • Ability to deal positively within an ever-changing workload

Company / industry knowledge:
  • Experience in a training administration or management environment
  • Experience of Apprenticeship programmes (desirable)
  • Understanding of the HEI / FE environment
  • Understanding of ESFA processes (desirable)
  • Experience of emergency services or regulated environments (desirable)

Qualifications:
  • GCSEs, or equivalent, covering Maths and English (grade A-C or equivalent)
  • Relevant Level 3 qualifications e.g. Administration qualification or suitable alternative
