  • Arrange internal and external meetings, booking appropriate venues, ensure visual aids are provided for speakers as required.
  • Regular collation of information and supporting paperwork with regards to the production of reports and agendas from previous minutes. Timely circulation of papers to all parties prior to all meetings.
  • Taking notes or minutes for meetings as required.
  • Identify dates and prepare schedule of meetings for the year, maintain and update diaries electronically and organise appointments and meetings for the team.
  • Assist and support the team by using organisation skills to maintain efficient and up to date administrative systems.
  • Monitor all work in progress with a bring forward system and chase outstanding responses via telephone, in person, or electronically.
  • Daily sort incoming mail/email exercising knowledge and expertise to prioritise into categories of urgency and sensitivity. Answer routine
  • enquiries on behalf of the team.
  • Deal with and take appropriate action because of callers (in person and by telephone) in line with expected standards.
  • Order and receipt items on Integra (finance software system).
  • Collate information and enter on databases/spreadsheets. Provide reports as required (eg Questback electronic surveys)
  • Co-ordinate bookings for meeting rooms. Enter appropriate electronic diary with clear contact details when bookings are made.
