Job Ref1704Job TitlePeople AssistantLocation:RomfordSalaryCompetitiveClosing DateClose date not setJob DescriptionPurpose of the role:As an outsourced HR Services Provider of professional HR consultants, ER consultants and employment law consultants, we provide practical support and solutions to businesses on all aspects of being an employer to clients in a wide range of industries and sectors.Our team is split into ER Consultants and HR Consultants. The ER consultancy team supports and advises our clients with their day-to-day HR queries by telephone and email. Queries range from dealing with employee absence and family friendly requests to planning restructures and TUPE transfers. Our HR Consultancy team supports our clients in a more pro-active way with projects and initiatives that improve the employee experience and their overall attractiveness as an employer.We are looking for is a People Assistant to join our team to be trained to work across both the ER and HR teams. There is a structured development programme to follow in this role, with key milestones to achieve to enable learning and confidence to support our clients and provide the good quality and commercial solutions that they expect from us.Our people are professional, hardworking, friendly and approachable with commercial awareness and a passion for client care. Our clients expect enthusiastic, passionate, empathetic people to look after them and solve their businesses problems.Key Tasks And Responsibilities
  • Manage all inbound activity through prioritising the mailbox and responding to clients` HR queries by email and telephone; advising on all aspects of the employee lifecycle and escalating complex or contentious issues when necessary to the ER Consultants.
  • Support clients in the management of employee relations cases, ensuring timely and commercial solutions which meet their objectives, while advising on risk.
  • Provide the Employment Law Consultant with a detailed case history for any cases that have potential risk.
  • Draft documents as required to accompany the advice provided.
  • Draft and advise on employment contracts, handbooks, policies and procedures to ensure that they meet and enhance the business needs of our clients.
  • Provide annual contract and policy updates for our clients to ensure they remain protected with changes in legislation and precedence set by recent cases.
  • Shadow the projects team to gain experience within the overall service we provide.
  • Maintain client notes and timesheets (for billing) on our systems.
  • Maintain live trackers with HR and ER Consultants
  • Assist with other HR related project work such as redundancy consultations, investigations and meetings when required.
  • Understand the partner companies we work with (e.g., occupational health, background screening, psychometric assessments) and use their systems.
  • Maximise billable hours by closely supporting clients, identifying opportunities for additional project and/or training work for the consultancy team.
  • Assisting with company social media activity as required.
  • Keep up to date with CPD.
  • Provide additional support to the consultancy team for ad-hoc tasks and projects as required.
Skills And Expertise
  • Someone who is client centric that will go above and beyond to deliver client satisfaction
  • Previous experience working in a face paced, busy environment with ability to prioritise conflicting demands based on commercial outcomes is essential
  • A HR related qualification or previous HR experience at any level is desirable, but not essential.
  • Self-motivated and keen learner - have the enthusiasm to pursue the topics/projects that interest you.
  • Excellent administrative and organisational skills with an ability to progress a number of tasks simultaneously, prioritise workload and maintain effective systems.
  • Ability to use Microsoft office systems.
  • Ability to confidently speak and advise clients over the phone and sometimes in person/video call.
  • Strong interpersonal skills with ability to engage confidently and build relationships at all levels.
  • Have attention to detail to deliver quality work.
  • Be commercial and understand that efficiency is important, but not to the detriment of quality.
  • Team player - happy to support the team and be supported by the team.
  • Ability to write a logical report/letter with accurate spelling and grammar.
  • Be honest about mistakes (we all make those).
  • Undertake regular CPD training.
  • Be able to attend the Romford/London offices on a regular basis.
