Airbus Helicopters is the world’s largest helicopter manufacturer and the company’s site at Oxford Airport is Britain’s civil helicopter hub.

AHUK offers considerable experience in helicopter sales, bespoke completions, maintenance and spares support. Its in-house engineering capabilities include design, customisation, installation, flight-testing and certification, as well as technical support, maintenance, training and the supply of spares for civil and military applications.

AHUK is the MoD’s chosen provider of helicopters and maintenance for its Defence Helicopter Flying school (referred to as MFTS) located in RAF Shawbury (Shropshire) and RAF Valley (Anglesey).

Description/Overall purpose of the Job

(MFTS Management Assistant - Fixed Term Contract (approx 1 year),Shawbury - UK Military Flying Training System (Rotary Wing)

Reports to UK MFTS (RW) Head of MFTS

  • Provide Management Assistance to the Head of MFTS and Senior Business Manager, and act as subject matter expert for all MFTS administrative functions.

The Main Responsibilities Of The Post Holder Will Be:

  • Providing overall support for the Head of MFTS and other managers
  • Supervise and co-ordinate MFTS Administrative staff to ensure administrative business continuity across all areas
  • Act as the administrative SME
  • Supervise Administration Assistants (3):
  • TMS and SAP entries
  • SAP reporting support
  • Booking of rooms for meetings
  • Post and administration between Shawbury, Valley and Oxford
  • Stationary levels and orders
  • Travel arrangements
  • Diary management of Head of MFTS
  • Producing documents, presentations, and minutes.
  • Liaising with other departments at all levels within the company including UK and overseas.
  • Co-ordinating the progression of Requisitions and invoices including workwear
  • Liaising with accounts department in respect of invoices.
  • Keeping on-site cost monitors up to date at all times.
  • Acting as Deputy Unit Security Officer (DUSyO)
  • Co-ordinate visits to Shawbury and Valley
  • Provide any additional management support for MFTS as directed by the Head of MFTS.
  • Attendance at, and recording of, Programme Review Meeting
  • Assist Project Manager with Ad-hoc tasks.

The post holder would ideally have the following Knowledge and Skills:

ESSENTIAL

  • Proficient in Google suite, Email, Internet.
  • Knowledge and understanding of office procedures and terminology.
  • Good inter-personal skills, over the phone and in person, with our customers and internal departments.
  • Ability to juggle multiple projects with good accuracy.
  • Good Reporting, Administrative Writing and Organizing Skills.
  • Ability to plan, organise, and prioritise workloads to meet deadlines.
  • SAP Skills and /or ERP Skills.
  • A basic understanding of accounting practices desirable

We require the post holder to have the following Education, Qualifications or special training:

ESSENTIAL

  • GCSEs including Maths and English
  • European Computer Driving License (ECDL)
  • Recognized formal training in Business Administration

DESIRABLE

  • Project Management Qualification

ESSENTIAL

The post holder should have the following experience:

  • At least 2 years experience in a similar role as an administrative assistant.
  • Experience of minute taking and accurate recording of meetings.

DESIRABLE

  • Familiarity of the aviation industry and helicopter sector would be advantageous.

Other Requirements:

  • Basic Security Clearance is required for this position due to MoD Security requirements.
  • Airbus working Day 0830-1700, 1 hour for lunch
