Aspire Jobs are delighted to be working in partnership with our client, who are an outstanding, professional services firm within their offices near to Poole.

We are looking for an experienced, process driven and professional Legal Secretary, with experience of Wills & Probate to join a very busy department with the firm reporting to the Head of the Department.

This Legal Secretary role will be full time, seeing you working one-to-one with the Head of Department. The tasks involved include typing, administration of files, taking and making client calls, organisation of a diary and other PA duties which arise.

Previous experience with a Legal, Accountancy or professional services firm would be preferred. Experience of Wills & Probate essential.

The successful Legal Secretary will: -

  • Have experience of working within Wills & Probate.
  • Be professional with a confident communication manner which can be tailored to the audience
  • Ideally have knowledge on Digital Dictation IT Systems
  • Have great attention to detail
  • Have an excellent communication manner
  • Be well presented
  • Have superb organisational skills and experience

The role will involve you managing the organisation of one of the partners, preparing legal documentation and a fair amount of compliance work. You will also be managing his diary, booking training for him when needed, meeting and greeting clients. You will also be responsible for logging payments onto the internal system so excellent attention to detail is essential.

Job Description

Other duties will include: -

  • Typing of Correspondence using BigHand digital dictation IT system
  • Managing diary in Outlook and on a case management system
  • Managing deadlines using the firms IT Systems
  • Taking and making client telephone calls
  • Preparing documents for client meetings as and when required
  • Filing/Archiving/Photocopying/Scanning as required
  • Taking messages from clients and passing it onto the fee earner;
  • Following AML and Complaint processes as required
  • Checking emails for fee earner when out of the office
  • Management and arranging necessary payments
  • File Closures
  • Understanding accounting procedures for money received
  • Retrieve archived files
