Senior Administrator

Location: Support Office, Elephant & Castle

Basis: 6 months FTC

Hours: Full time, 40 hours per week

We provide services for NHS CCGs, NHS Trusts and Foundation Trusts, and other providers of NHS funded services. We deliver over 125,000 patient interactions annually, including outpatient appointments, diagnostic testing and eye surgery. Our services are delivered through a variety of models including Managed Services and Ophthalmology Joint Venture (OJV) Partnerships.

ROLE SUMMARY

The Contracting Relationships Team are responsible for the maintenance, maximisation and growth of mission critical contractual relationship opportunities with the NHS Bodies (CCGs and Trusts) and Private Medical Insurers.

The team are at the forefront of the business ensuring the development of excellent working relationships with NHS commissioners, other providers and bodies within the NHS environment and the private medical insurance market.

Our role of Contracts Management Co-Ordinator is responsible for the co-ordination of all the commissioning office activities ensuring robust document management, timely reporting submissions and to project manage tender and procurement opportunities.


KEY RESPONSIBILITIES

CONTRACT MAINTENANCE

  • The accurate maintenance of all department documents including contracts tracker, new opportunities, and tender pipeline.
  • Manage the contact programme with key stakeholders across all contracting partnerships.
  • Monitor contract reporting schedules and reporting cycles. Working with all sites to collate and submit meaningful and well-presented information in a consistent way.
  • Work with Head of Managed Services and Operational Directors (OJVs) on the sharing of new contracts and variations to ensure full understanding of all delivery requirements.
  • Through the reporting cycles identify risks for escalation to head of commissioning that may impact current stakeholder relationships and may require a strategic approach to be agreed with relevant partners prior to any contract meetings.

  • Monitor contractual meeting outputs that require action by Newmedica and support timely and meaningful responses.
  • Prepare new registration forms under direction of the senior contracts’ manager for PMI providers when new service locations are launched.
  • Support senior contracts manager with distribution of price changes as necessary.
  • To lead on all PMI exceptional service queries around contract pricing to support all services in the reduction of risk to short-falls of payments.
  • To lead on credit control escalations from the finance team and work to secure unpaid balances.
  • Maintain a comprehensive library of documentation as a reference point for all contracts and bids.
  • The review and quality control of all contracted reporting requirements ensuring timely submission aligned to the demands of the contract’s schedules.
  • Manage the department’s mailboxes, and ensuring timely responses and sharing with respective individuals to action.

MANAGEMENT OF TENDER PROCESS

  • Routine review of all tender opportunities, identifying suitable opportunities for Newmedica and provide end to end project management to ensure timely submission of qualitative documents.
  • Using screening framework, summarise new tendering opportunities to support robust go/no go decisions.

NEW OPPORTUNITIES & CONTRACT DEVELOPMENT

  • Routinely review the healthcare landscape to monitor CCG mergers and integrated care systems.
  • Review annual turnover activity and provide summary information where activity thresholds have been achieved and contracts to be attained.
  • Prepare introductory packs to promote Newmedica, and service capacity.
  • To identify and research new NHS Bodies within target growth areas to support both the Head of the department, and the senior contracts manager in securing new relationships.
  • Maintain a comprehensive library of new business opportunities, including the issue of introductory documents and arranging meetings.
