Job Summary:

The post holder will provide administrative support to the HR & Workforce Team to ensure a robust delivery of service.

Key Duties/Responsibilities

· Provide full administrative HR support, including the production of letters and documents and updating and maintaining a variety of databases

· Support the HR team with managing the HR inboxes (HR, Rotas, Holidays), responding to emails where appropriate and redirecting all other emails in a timely manner

· Support with the recruitment of new team members, including advertising of roles on the appropriate platform, arranging the shortlisting of candidates and arranging interviews

· Support with the on-boarding of new team members, including the production of offer packs and obtaining references

· Log and produce all relevant documents in relation to starters, leavers and change to terms and conditions

· Be familiar with the HR policies and procedures and be able to provide guidance on where information can be found

· Maintain the electronic employee filing system by ensuring that all documents are scanned and filed promptly and correctly

· Man the absence line on a rota basis. The absence line is open from 7am – 6pm Monday – Friday

· Support the team in maintaining the log of all sickness and absences and ensure compliance with the absence policy at all times.

· Log probationary reviews and appraisals and ensure that they are completed and returned within the agreed timeframes and completing any follow up documentation

· Process holiday requests from both clinical and non-clinical team members in line with the planned leave policies. Ensure all grids and trackers are up to date and accurate

· Maintain and update the Bluestream mandatory training system and run the monthly reports on outstanding mandatory modules

· Ensure all trainees are up to date with mandatory training and flag where this is not the case

· Enter appointment schedules on to the EMIS computer system, ensuring a high level of accuracy and that appointments are available in good time.

· Support with the on-boarding of trainees ensuring we receive all the correct documentation prior to their start date

· Work with the team to ensure that all audit requirements are met

· Support HR projects as required

· Support with the regular review and updating of HR & Workforce policies periodically, assist with the creation of new ones

· Escalate any issues relating to employees, where intervention may be required, to the HR & Workforce Manager

· Be tactful and confidential and demonstrate a positive professional image for the department at all times

· Any other duty required to support the effective operation of these systems.

Job Types: Part-time, Fixed term contract
Contract length: 9 months
Part-time hours: 20.5 per week

Salary: £11,512.39 per year
