Hours: Full time – 38 hours per week flexible as the role requires

Place of Work

The primary location of this role will be our Head Office and working across our other services in York and Tadcaster will be required.

The post holder may on occasions be required to travel beyond the region in the course of undertaking their duties.

Purpose of the job:

Provide a quality Housing, Maintenance and Facilities service across the whole of Wilberforce Trust.

Main Duties:

· Hold the HMO licenses for Wilberforce Trust shared properties.

· Responsible for all matters relating to Housing and Facilities management ensuring that we are compliant with our legal and financial requirements

· Support and advise the executive team by providing accurate and timely reports to support decision-making and to inform the Trust of performance, risks and concerns, and financial recharging of services to tenants

· Use our Compliance software to manage the workload that sits under the housing and facilities department

· Conduct monthly Health and Safety and Infection Control audits to measure compliance against health and safety standards and legal requirements across the Trust’s estate and ensure that the actions from those audits are implemented and completed.

· Monitor and review the data on fire evacuations conducted and support with quarterly fire evacuations ranging from planned, unplanned and night-time.

· Ensure that job requests are completed in a correct timeframe and managed in line with their urgency and risk factors.

· Ensure that property requests made by our tenants are processed and dealt with in the correct timeframe.

· Responsible for our rolling and cyclical maintenance work ensuring that it is completed within the given timeframe.

· Oversee our maintenance and facilities contracts ensuring that annual meetings are conducted and our satisfaction with the companies remain high.

· Direct line management of the Maintenance Operative, the Reception Hub and a Facilities Administrator.

· Development and implementation of appropriate policies and procedures in consultation with the Head of Compliance, Governance and Quality.

· Oversee the Facilities and Housing budget ensuring that purchases demonstrate a quality of supplies and value for money.

· Monitoring the purchase and usage of chemicals ensuring compliance with the Control of Substances Hazardous to Health Legislation

· Work closely with other departments and support them with Health and Safety ensuring that the Trust remains compliant and safe.

· Implementation and monitoring of tenancy agreements, furniture, and appliances that the Trust is responsible for.

· Work closely with the Care Team to ensure that the onboarding and exiting of tenants is a streamline process.

· Complete Landlord visits and inspections to ensure that the tenancy agreement is being abided by

· Provide quarterly reports for the Board of Trustees

· Conduct investigations on incidents relating to Health and Safety where required.

· Create risk assessment for Wilberforce Trust properties.

General:

· To attend management meetings

· To provide professional leadership to all staff and volunteers across the Trust.

· To be involved with Health and Safety in other departments where required

· To attend other meetings as and when required

· Work closely with the Care Team to ensure that all Health and Safety in care delivery is met to a high standard.

· To review policies and procedures in relation to your areas of responsibility.

· Maintain detailed, accurate and up to date records as appropriate for legality and for Wilberforce Trust

· To take part in the out of hours on-call support on a rotational basis.

· Working with management, regulators, and board members

· To undertake such other duties as the Chief Executive or Trustees may reasonably require from time to time.

Full driving licence and own vehicle to travel between sites as and when required.

NEBOSH qualification essential.
