Graduate Coordinator (Strong PowerPoint and IT skills are a MUST)

Our client located in Bracknell has an exciting opportunity to work as a member their Operations Team and undertake every aspect of support required by both internal and external customers. You will be responsible for providing outstanding customer service to support their training interventions, which are delivered within established Service Level Agreements, to ensure it is efficient, customer-focused and adds value.

Applicants must:

  • Possess a minimum C grade in Maths and English at GCSE level (or equivalent)
  • Be strong PowerPoint users
  • Be intermediate users of Office applications
  • Confidence or experience in learning creative software packages
  • Have a creative flair
  • Strong communication skills

Key Accountabilities:

  • Client enquiry handling, key account support and contact
  • Receive and handle all forms of client enquiry, professionally and courteously
  • Strictly follow the sale to invoice process and provide accurate and timely management information.
  • Provide administration support for allocated key accounts including planning and liaison for programmes with Account Manager and client.
  • Keeping accurate, up to date documentation for account planning, management information provision and in line with our policies and procedures.
  • Liaise with suppliers in order to schedule client work logistics and finance
  • Have knowledge of products/project strands/clients and be responsible for sharing knowledge as appropriate.
  • Ensure course evaluations are issued/collated and reported
  • Task management and Project Management

Administrative Support

  • Carry out general admin duties to enable the business to function effectively including post, photocopying and ad hoc requests. Provide consultants and managers with administration support and management information as required and escalate any issues/enquiries to the appropriate person.
  • Build relationships and develop the trust of the internal and external customers (suppliers)
  • Booking rooms/venues/travel for internal and external meetings for consultants and clients when required.
  • Proof reading and professionally formatting all documentation.
  • Coordinating with account managers as needed to meet customer needs, whilst managing customer expectations to prevent overload or missed deadlines.
  • Cover colleague’s holidays /absence.
  • Support ISO Quality requirements.
  • Any other duties that may be reasonably requested from time to time.
  • Entry and Maintenance of the training management system
  • Training Materials
  • Responsibility for ensuring training folders, materials, exercises, and printing requirements document is produced and updated in accordance with our knowledge management process.
  • Ensure all necessary materials distributed in a timely and cost-effective manner.
  • Ensure the maintenance of file management system is kept up to date and only current material is distributed.

Associate Trainers

  • Agree contracts and dates with associate trainers and coaches.
  • Ensure trainer agreement letters are produced and followed up.
  • Maintain trainer matrix.
  • Manage records of associate trainers.

E-Learning, Learning Hub, Virtual Classroom Production and Diagnostics

  • Diagnostic platform, Learning hub -Moodle platform, Virtual Classroom, and e-Learning platform administration & development
  • Managing projects through teams from initial client referral through the stages of initiation, requirements gathering, development and implementation.
  • Liaising with SME’s and Account Managers Meeting the stated time, cost, and quality of delivery criteria, ensuring client’s requirements are met and exceeded
  • To set up and maintain learning solution systems control documents
  • Troubleshoot in all areas from a technical perspective
  • Interact with participants to support the facilitator in virtual classrooms as a producer.
