Main duties of the job

An opportunity has arisen for a part-time General Clinic Administrator to join our busy team in the Audiology Department based at Ropewalk House.

We are seeking an enthusiastic and conscientious team player who has previous office based experience.

The role requires patient notes to be prepared in a timely manner. Duties include printing, photocopying/scanning, filing and typing. The post-holder must be well organised, be able to prioritise workloads and use their own initiative.

You will need to be able to demonstrate a clear understanding of confidentiality issues, be well motivated and reliable.

18.75 hours per week to be worked between the hours of 8:30am and 5:00pm Monday-Friday. Work pattern to be agreed with the successful candidate.

A very busy and friendly team who work together to provide a range of administrative support within the whole of the Audiology Department at Ropewalk House.

This vital role is mostly back office and file area based.

Detailed job description and main responsibilities

To provide support to the provision of clerical administration and typing for the directorate.

The role/duties of the post are outlines above. In undertaking this role the employee will be expected to behave at all times that is consistent with and actively supports the Trust values which are detailed below.

Ensure all patient notes are prepared in line with Trust Standard guidelines and key performance indicators including current paper records or thin folders that will support DHR requirements

Printing clinic lists from Medway

Photocopying/scanning as required

Deal appropriately with enquiries, by telephone and in person, from staff and the general public, seeking advice or referring elsewhere if necessary.

Ensure all RTT patient data are recorded accurately and timely.

Provision of typing support.

Keep personally updated and be able to advise patients in relation to peripheral services available, i.e. transport, interpreting services etc.

Be able to competently use Hospital IT systems and other information technology systems and participate in training programmes to develop and update personal skills to meet the needs of the department.

Maintain tidy, safe working environment, reporting any hazards or faults timely and appropriately.

Keep file areas clear and tidy.

Ensure patient notes are filed correctly.

Present a professional, polite and courteous attitude at all times and be appropriately dressed when on duty.

Undertake any other duties, which may reasonably be required.

  • A-C grade GCSE or equivalent including English and Maths

Salary: The quoted salary will be on a pro rata basis for part time workers.

  • Disclosure and Barring Service: Your post maybe subject to a DBS check which incur a cost dependent on the level of check required (£45 for enhanced and £28 for standard). I agree to reimburse Nottingham University Hospitals NHS Trust the cost of a Disclosure and Barring Service (DBS) check if it is required (by deduction from first month’s pay). Should I decide to withdraw from my job offer, I agree to reimburse Nottingham University Hospitals NHS Trust the cost of the DBS check undertaken by cheque or other agreed method.
