Hutchesons’ Grammar School aims to provide boys and girls with a broad Scottish education, with the emphasis on academic excellence.

Overview

Purpose of Role

Reporting to the Premises Team Leader, the Facilities Officer role is to help ensure the school environment is organised efficiently and effectively to support the school’s daily activities. The Facilities Officer will spend their time achieving and maintaining high standards of cleanliness (internal and external), assisting the Maintenance Technician as well as performing minor maintenance tasks as and when required.

The Facilities Officer will also perform maintenance regimes and prepare task sheets as well as liaise and co-ordinate with external contractors for specialist systems maintenance and planned works across the school sites.

They will be expected to liaise and communicate with all school departments for set-ups and events such as examinations, parents’ evenings, external lets, open days, shutdowns etc through Help Desk requests and routines set within the school. In addition, they will support the needs of the school by applying their efforts to whatever requires attention within the wider remit of their team.

This is a busy hands-on role, requiring and energetic and flexible individual who can work as part of a team and is committed to give 100% in all tasks undertaken.

Overtime is available due to as some events/lets and sub-contracted works taking place at weekends but this would be communicated well in advance to the Facilities Officers and an overtime rota will be in place so that efficient planning and cover is organised before the event.

This is a full-time, permanent role, working Monday to Friday, 35 hours per week on a rotational shift pattern to cover school opening hours and any after school activities as follows: -

  • Early: 7 am-3 pm
  • Primary School: 7.00 am-3.00 pm
  • Day: 10.30 am-6.30 pm
  • Late: 2.15 pm-10.15 pm

Main Duties and Responsibilities

Hard Services/Maintenance

· Carry out minor reactive maintenance repairs to electrical, plumbing, mechanical and building fabric assets and equipment across school properties within the remit of the post (subject to relevant training being undertaken).

· Log, analyse and track maintenance requests through the helpdesk

· Assist the maintenance technician with any tasks which require assistance

· Assist the maintenance technician with planned preventative maintenance regimes on school plant assets and equipment as per the planner on school properties

· Assist the maintenance technician with routine maintenance inspections and assessments on plant, equipment and building fabric

· Coordinate, liaise and assist with external sub-contractors whilst they are on site performing maintenance on specialist systems to ensure smooth running of School business

· Distribute, compile, and file maintenance related documentation

· Perform routine checks on site relating to maintenance apparatus

· Adhere to H&S protocols in relation to any maintenance related tasks

· Weekly fire alarm testing

· Perform statutory compliance checks and tasks across the school sites

Soft Services/Cleaning

· Uphold a high level of housekeeping across the sites ensuring they are presentable and always fit for purpose (external and internal)

· Daily litter picking between school breaks (morning and afternoon) to ensure areas are always clean and tidy

· Daily waste management ensuring bins are collated and emptied into the correct waste area

· Fortnightly cleaning of waste areas

· Termly playground cleaning

· Undertake routine cleaning inspections both internally and externally within the school

· Clear any excessive foliage around the campus as and when necessary

· Adhere to H&S protocols in relation to any cleaning related tasks

· To be proactive in all soft services/cleaning related tasks, responding to incidents, reports, spillages, and escalating requests quickly and efficiently

Porterage/Set-Ups

· Move furniture and equipment within the school and between school sites as requested.

· Assist school departments with set-up requests (meetings, parents’ evenings, conferences and functions)

· Assist external lets with set-ups and decants of equipment as and when required

· Adhere to H&S protocols in relation to any manual handling related tasks

Deliveries

· Collect, record, and distribute deliveries for all Facilities-related orders

Transportation

· Collect emergency orders as and when requested by the Premises and Projects Manager and the Facilities Team Leader

· Re-locate school assets to other sites

· Facilitate requests from staff and school departments

Security

· Understand and implement regular security patrols across the sites, reporting and escalating any issues quickly to Facilities Team Leader and Help Desk

· Secure the facility of an evening before leaving the school site ensuring all buildings are locked and windows are closed, internal lighting is off, main entrance doors are locked and any alarms are activated before leaving site.

Other Duties

· To assist in any administrative duties associated within the role

· To respond and interact with electronic forms of communication, information, and instruction as well as traditional written and verbal instructions

· To undertake necessary training to ensure up to date knowledge of maintenance and safety regulations

· To be part of the emergency response team and procedures

· To always uphold a high level of customer service

· To be first point of contact for staff, students, visitors and external lets out of office hours, dealing with any issues that may arise in a professional and efficient manner

· To fulfil any other necessary tasks that falls within the remit of the post

Where any duty necessitates training, this will be provided.

Experience

· Knowledge and experience of H&S (Essential)

· Working within a Facilities Team environment (Essential)

· Previous experience in an educational setting (Desirable)
