Dandara Living are seeking a Facilities and Estates Manager to support Forbes Place build to rent operation. We are looking for individual who can provide a high level of customer service, with a positive can-do attitude being a key point of contact at Dandara Living for all tenancy related matters for residents living at Forbes Place. The Facilities an Estates Manager will be responsible for all aspects of property management and facilities management that fall within the remit of Dandara Living, and will be highly driven in achieving the Company KPI’s.

Working Patterns

A successful candidate will be required to work Monday to Friday 9am to 6pm with an hour off for lunch. The role will be required to be part of out of hours on call roster.

Key Roles & Responsibilities

  • Line management of onsite maintenance technician and Housekeeping team
  • Organising planned and reactive maintenance
  • Closing planned and reactive maintenance jobs
  • Ensure H&S compliance on site and instil a H&S culture, by organising and implanting regular training with the all-team members onsite
  • Liaise with central M&E teams
  • Oversee the defects liability period with the main contractor
  • Organising and inspecting move in and vacating maintenance works
  • Staff reviews, ensuring all KPI’s are understood and met
  • Ensuring that all vacant properties are in the best possible viewable state
  • Reporting the status of units to the Head of Leasing and wider team
  • Assist in budget preparation ensuring all line items are captured
  • Responsible for the staff training
  • Conduct daily walk around site
  • Leading the team by setting examples of best practice
  • Cover in the absence of the Operations Manager
  • Organising shifts patterns and team cover
  • Build and maintain strong relationships with residents and contractors.
  • Management of facilities management contractors to ensure monthly jobs are complete and paperwork/certification is filed for audit/due diligence purposes.
  • Ensure contractor invoices are received within a timely manner upon completion of maintenance tasks and passed to Operations Manager for processing payment in line with Company KPI’s.
  • Carry out day to day routine essential maintenance tasks for residents eg repair to door handle, repair to chest of drawers with basic knowledge required on all aspects of maintenance.
  • Conduct weekly inspections on the communal areas and grounds to Forbes Place, including all internal areas and externals to the apartment blocks, underground car parks, bin stores, outside grounds and gardens, ensuring reports are accurately completed and filed in line with Company KPI’s.
  • Conduct monthly empty property & legionella inspections, ensuring reports are accurately completed and filed in line with Company KPI’s. Arrange cleaning of taps/shower heads on empty properties that have been vacant for more than 6 months as per legionella legislation.
  • Instruct property safety certificates, including Gas Safety, PAT, EICR and EPC and any necessary remedial works to ensure 100% legal compliance.
  • Administer all responsibilities in the most cost effective way and always operate within approved budgets and Company policies.

About You

  • The successful candidate must have experience of least 5 + years in a similar role within a residential development, hospitality, or similar premium environment
  • A positive team player, with an adaptable and flexible approach along with ability to work collaboratively to drive results and support the wider team and business objectives.
  • Strong communication skills and the ability to deal with all levels of staff
  • Ability to lead, motivate and direct the team
  • Proactive and the ability to work under pressure whilst remaining calm
  • Integrity, honesty, and punctuality is expected
  • Good understanding of Health and Safety processes; holding IOSH, NEBOSH or higher
  • Knowledge of Fire Safety and Building Safety along with Legionella, Asbestos etc.
  • Experienced within Built Environment, M&E, Construction, FM or Property Management, Estates Management would be ideal
