We are looking to recruit a part time Facilities and Maintenance Administrator working 20 hours per week located at our sites in Hinckley and Lutterworth. Within this growing team, you will assist in coordinating the UK Engineering Team’s administration and documentation to ensure completeness and compliance per local laws, guidance and legislation. About the Role

How you will contribute

  • Utilise computer and computer software system maintenance management system (MMS or similar) set up system functions, enter data and process information, including:
    • Systems updates for Engineering, Facilities, Maintenance and other related equipment or activities supported by MMS/ Qpulse.
    • Provide activities forecast by using system reports and functions.
    • Ensure updates are entered into the MMS in a timely manner to provide performance management.
  • Work with UK teams to identify and implement new MMS capabilities and initiatives.
  • Interact with various departments via telephone, email or in person to provide information and resolve issues when possible, or ensure escalation to correct department or level for solutions.
  • Support cost savings through continuous improvement.
  • Perform administrative activities, including:
    • End dates of service contracts & advise of renewals dates.
    • Internal audits to ensure compliance.
    • Budget & Expenditure Tracker for the Facilities & Maintenance and Engineering Team.
    • Creation/Maintenance of an Engineering/Maintenance UK Qualifications/Skills Database.
    • Creation of Process Flows and work instructions for process, DB usage etc.
  • Coordinate UK Engineering Team’s (Engineering, Maintenance, and Facilities) administration and documentation to ensure completeness and compliance per local laws, guidance, and legislation.
  • Monitor procurement/purchase requisitioning activities within the UK Engineering and Facilities Team.
  • Maintenance and analysis of database up to date with timely, accurate, and detailed information across UK e.g. Task completion, overdue, hours with contractors, travel time.
  • Train, mentor, and coach site engineering and maintenance teams on their use of documentation and systems to improve the standard of administration.
  • Liaise and work closely in conjunction with Facilities & Maintenance Team UK, Engineers (Site Lead and team) from other UK sites, Engineering Manager UK, Finance UK, and Procurement UK/EMEA.


Your Key Qualifications

  • Must be able to follow through on all assignments.
  • Meet deadlines consistently.
  • Strong office administration skills including complete knowledge of Microsoft Office.
  • Professional, accurate & precise, ability to manage multiple tasks.


Additional Information

A valid driving licence and use of a vehicle is required as travel between sites will be required.
