Job Description

We are currently recruiting a Facilities Administrator to undertake all administrative, reporting and coordination tasks within the Estates Team at Bishop Auckland Hospital

This is a full time, permanent role working Monday to Friday, 8am to 4pm.

Key Responsibilities

  • To upload PPMs from CAFM system to the site team and submit completed documentation, once reviewed, to compliance asset management systems
  • To ensure timely and accurate filing of paperwork e.g. PPMs, reports and breakdowns
  • To liaise with contractors to coordinate site visits and schedule works, and to ensure contractor information and databases are kept up to date
  • To obtain quotations and raise purchase orders for managers when required ensuring that the information is recorded on the period balance sheet
  • To maintain and enhance effective working relationships with the client, colleagues and other interested organisations and individuals
  • To assist managers in ensuring that quality monitoring, activity reporting and performance monitoring is properly implemented and maintained.
  • Working with the Facilities Manager and other staff members to develop plans to ensure all administration resource is cross trained ensuring all staff can perform all basic functions
  • Contribute to the overall contract objectives and targets
  • To carry out all tasks with due regard to the contract specification, the Company’s policy and procedures and all current legislation
  • To analyse data stored within the Concept CAFM and Track Record Compliance system and produce reports, responding to client and ISS audit/compliance requests

Professional and personal competencies/qualifications

  • Previous experience in administration, preferably within Facilities Sector
  • A professional level of communication and IT skills, with good general education
  • Experience or proven ability in working as part of a team/own initiative.
  • Ability to communicate both written and verbal to senior management level.
  • Ability to solve problems in an effective manner.
  • Excellent skills in Microsoft Office (Word and Excel)
  • Excellent organizational skills.
  • Ability to handle large amounts of data accurately and in a timely manner.
