We have a rare opportunity for an Facilities Administrator within a high-profile employer in Rutland.

This Estates Administrator role is at a well-known, prestigious and very well-established organisation based on a stunning and diverse estate.

The Estates Administrator will provide administrative support to the Head of Contracts, coordinate the Planned Preventative Maintenance Programme (PPM) within the Computer Aided Facility Management (CAFM) system, and monitor and report on the performance of the internal maintenance team and external contractors.

The estates’ team cover a site of 120 acres, almost one mile apart at its extremities and interspersed by town housing, retail and light industrial properties. It includes 56 acres of playing fields and a built estate of 75 buildings, of which 23 are listed (Grades I – II).

The ideal candidate will have excellent verbal and written communication skills, as well as a positive, ‘can-do’ and forward-looking attitude.

The Estates Administrator tasks include:

  • Provide administrative support to the Head of Contracts, including procurement, contract management, and data entry.
  • Coordinate the PPM program, liaising with internal and external stakeholders.
  • Work closely with the Head of Building Fabric and Head of Mechanical & Electrical Services to manage the day-to-day PPM program.
  • Be a central point of contact for both internal and external stakeholders, including manning the reception, answering the telephone, managing the central inbox, organizing the receipt and issuing of post and parcels, and other administrative duties.
