The Role

The role is a busy one and communications expectations from colleagues across the business are high and can be demanding. The role holder will need to work to provide excellent customer service to meet these needs, prioritising as necessary, managing expectations when we may not be able to deliver a piece of work and knowing when it is appropriate to escalate any issues that arise.

Communications Assistants will be expected to juggle multiple tasks at any given time which requires strong organisational skills, the ability to multi-task under pressure, and a strong “can-do”, proactive attitude.

The importance of customer service cannot be stressed enough – triaging multiple incoming communications that require a response will require diligence to stay on top of who is still awaiting a reply from the team and who needs to be chased for information to provide that response.

This role is focused on providing general support to the Corporate Communications and Engagement Department, helping it to run smoothly through a range of administrative tasks, as well as providing support with communications activity as needed.

The role holder will provide dedicated support to one or more of the communications functional teams at any given time, and be provided with the opportunity to move between teams in order to facilitate development and build omni-competence across all Corporate Communication disciplines.

Dependent on the team they are supporting, work could include a variety of tasks ranging from monitoring inboxes and channels, triaging where necessary; creating and publishing one-off internal and external posts and associated graphics; creating and distributing communications bulletins and products and providing ad hoc support to Communications Officers and Managers as necessary.

The role holder will need to be able to juggle a varied workload, and deal with demands from the business and external stakeholders as well as those tasks passed to them through the Corporate Communications Department.

This role requires broad tactical knowledge of communications using a range of channels. Success in this role is dependent upon the role holder efficiently dealing with enquiries, communicating clearly with colleagues, and distributing content accurately over a range of channels.

Key Responsibilities

Monitor the Corporate Communications, Media Relations and Production inboxes, seeking information to respond effectively to enquiries, providing excellent customer service, and triaging to relevant teams where necessary.

Monitor agreed external and internal communications channels such as social media, internal forums and intranet comments, ensuring they are responded to as needed and in a timely manner by either Corporate Communications or other relevant departments. Escalate any potential issues or risks as they arise.

Create and publish content for the intranet, social media or other channels as requested by the business or other members of the Corporate Communications department.

Gather content and information and collate into communications publications as agreed, including but not limited to Dripfeed (our weekly communication to social media users within the force), the Daily Communications Digest and the weekly internal email to all staff and officers

Support the internal and external communications needs of Surrey Police in the event of a major/critical incident, flexing to support the major incident model.

Provide general support to the Corporate Communications Department, completing ad hoc tasks on request and to a high standard, to deadline and providing excellent customer service at all times.

Support in the successful delivery of internal and external events (virtual and face-to-face) providing admin and logistical support to ensure their smooth running.

General administrative support including the maintenance of databases, communications calendars and contacts, printing, distribution of materials and any other such tasks requested by the department or business.

Undertake such other duties appropriate to the grade and character of work as may reasonably be required, including the specific duties of similar or lesser graded posts.

QUALIFICATIONS:


Minimum of five GCSEs including English


Degree or other relevant communications qualification



KNOWLEDGE, SKILLS & EXPERIENCE:


Good organisational skills and the ability to manage a varying workload, prioritising as needed


Knowledge/experience of social media best practice in a business context



Experience of working in an administrative role, ideally within a policing or communications context


An understanding of the need for different channels to reach different audiences



Good written and verbal communications skills and the ability to provide excellent customer service


Experience of maintaining/updating internal channels such as intranet/Sharepoint



Strong general IT literacy including standard MS Office products and design packages such as Photoshop or InDesign


Good knowledge of design such as photoshop or InDesign



Experience of producing good, consistent results independently and as part of a team



Understanding of the range of communications channels available



Basic knowledge of communications issues and challenges in a policing context


Knowledge of media law
